Clinical Front Office Operations Manager – Centers For Advanced Orthopaedics Llc – Bethesda, MD

Primary Responsibilities:

The Clinical Front Office Operations Manager may be asked to perform job-related tasks other than those specifically stated in this job description. The duties and responsibilities of the position are to be carried out in a manner that is consistent with the Mission, Core Values, and Operating Principles of CAO.

  • Provide ongoing training/education on PM (Modernizing Medicine) front-desk workflow.
  • Act as liaison between clinic(s) and CBO billing office including, but not limited to assisting with appeals.
  • Provide quality customer service to all patients, vendors, and all other people who walk into or call the clinic.
  • Ensure adequate front desk staff are scheduled during all site operating hours.
  • Lead and oversee assigned billing staff and billing/claims processes
  • Audit team performance and results, adjusting for improvement as indicated
  • Identify and propose opportunities to maximize revenue
  • Carry out talent management processes, including training, development, and evaluation of staff
  • Complete and provide timely reporting to billing leadership, including standard weekly reports
  • Perform all medical billing responsibilities in support of the team, including:
    • Handle insurance billing/claims
    • Submit claims to insurance
    • Communicate accurate patient and billing/claims information to insurance carriers
  • Address scheduling and billing patient issues and complaints when necessary.
  • Train Front Desk Coordinator(s) in front desk duties.
  • Assist Site Lead/Manager in monitoring and supervising Front Desk Coordinator(s) to ensure compliance with CAO policies and procedures.
  • Verify patient insurance eligibility and benefits and/or obtain pre-authorization prior to the patient visit and as needed throughout the patient’s length of care.
  • Check-in patients and collect copayment, co-insurance, deductible, self-pay rate immediately upon arrival, and payments for DME and supplies prior to patient’s departure.
  • Issue appropriate new patient registration paperwork to new patients and assist them with completion when necessary. Ensure all new patient registration paperwork is fully completed with all necessary signatures.
  • Complete the daily opening and closing procedures as specified by the division/billing office.
  • Run daily, weekly, and monthly ModMed reports as required by the Site Lead/Manager.
  • Completes annual compliance training according to the compliance training schedule.
  • Continuously seek ways to improve overall front desk operations and patient and staff satisfaction.
  • Communicate with Site Lead/Manager and Director whenever necessary to keep him/her informed of any developments, problems, concerns, etc. which occur at the front desk.


Requirements, Education, and Experience:

  • A minimum of a High School Diploma.
  • 3+ years of related manager-level experience, with experience in an orthopaedic setting preferred
  • Experience and proficiency working with computers and electronic medical records.
  • Experience with Modernizing Medicine (ModMed)
  • Comfortable traveling to different clinics

  • Thorough knowledge of Medicare and third-party billing.
  • Thorough knowledge of Workers Compensation insurance its unique features and requirements.
  • Able to work independently.
  • Exudes professionalism in presentation
  • Must be able to read, write, speak, understand, and communicate in the English language.
