GENERAL DESCRIPTION:

Enjoy great pay and benefits and a team environment! The Wyoming Life Resource Center (WLRC) seeks a motivated person to work in our Administrative Support Department. This position requires strong attention to detail, excellent customer service skills, and a confident communicator.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.

  • Responsible for the operation of a centralized telephone switchboard and communication center.
  • Heavy transcription of recorded meetings from various departments into proper template formats.
  • Intermediate level knowledge of Google Suites (Docs, Sheets, Mail, Calendar).
  • Prepare outgoing mail, sort and distribute incoming mail, and perform postage meter operations.
  • Provide information and assistance to visitors and employees regarding work system activities and procedures.
  • Perform clerical duties such as data entry onto various forms, ordering supplies, filing, copying, answering the phone, and taking messages.
  • Maintain WLRC telephone directory in multiple sites.
  • Make lodging reservations and organize lodging binders and keys.
  • Provide administrative support for other departments on campus.
  • Plan and coordinate appointments, events, and meetings for multiple staff members and departments.
  • Provide customer service to clients, staff, and others, including frequent phone calls and walk-in traffic.
  • Assist the Executive Assistant to the Facility Administrator, as needed.
  • Other duties as assigned.

Qualifications

PREFERENCES:

Preference may be given to applicants with two or more years of receptionist and administrative support experience.
Preference may be given to applicants with experience taking and organizing meeting minutes.
Preference may be given to applicants with experience using Microsoft Office and Google Suite products.
Preference may be given to applicants with experience operating a telephone switchboard.

KNOWLEDGE:


  • Knowledge of applicable federal, state, and local laws, codes, regulations and policies, technical processes, and procedures related to the department.
  • Ability to organize and prioritize work.
  • Skills in using computers and office equipment (scanners, printers, copiers, etc.).
  • Skills and proficiency with Google Suite, including Google Docs, Google Sheets, Google Drive, Google Calendar, and Google Forms.
  • Skills and proficiency with Microsoft Office (Word, Excel, Powerpoint).
  • Skills with audio and video conferencing systems.
  • Ability to appropriately handle confidential and protected information.
  • Skills in customer service.
  • Skills in oral and written communication.


MINIMUM QUALIFICATIONS:


Education:

Associate’s Degree (typically in Business)


Experience:

0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II


OR


Education & Experience Substitution:

2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

PHYSICAL WORKING CONDITIONS:


  • Typically, the employee may sit comfortably to perform the work; however, some are walking, standing, bending, kneeling, twisting, carrying light items, etc.


NOTES:

  • FLSA: Non-exempt
  • A background check, including fingerprinting, will be completed through the Wyoming Division of Criminal Investigation, the Wyoming Department of Family Services, and the F.B.I. for every successful applicant.
  • Pre-employment drug and alcohol testing will be conducted on safety-sensitive positions. Drug testing will be conducted on any position if reasonable suspicion exists.
