Dental Clinical Support Supervisor – International Community Health Services – Seattle, WA

Job Summary:

This position plans, organizes, administers, and monitors the provision of clinical support services to patients and clinic flow; assures that such services comply with all applicable laws, regulations, policies, and procedures; and supervises assigned staff. Ensures effective and efficient operations in the back office.

Responsibilities:

  • Plan, organize, implement and evaluate work of assigned staff to ensure efficient clinic flow; coordinate clinic schedule and activities to ensure patient needs are met; oversee daily operations; identify potential problems and make adjustments; maintain dental scheduling templates.
  • Supervise and define roles and responsibilities of assigned staff which include hiring, on-the-job training, role clarification, performance evaluation, coaching, disciplinary action, and other personnel functions. Maintain and update training materials for Dental Assistants as needed.
  • Create and maintain a high quality work environment to promote the development of team members to reach their potential.
  • Spend at least half of work time on clinic floor for supervision, training, quality assurance, and clinical activities. Perform DA duties and cover for staff as needed.
  • Work with Assistant Dental Director (ADD) and Health Center Manager (HCM) to ensure adequate provider coverage and develop contingency plans for provider coverage.
  • Oversee Providers’ schedule template set-up; make adjustments to clinic schedules as needed; and arrange for On-call Providers as needed.
  • Ensure that proper dental equipment, supplies, and other items are ordered as needed; Maintain inventory control.
  • Ensure proper operation of laboratory and clinical equipment and instruments by completing preventive maintenance requirements, following manufacturer’s instructions, troubleshooting malfunctions, and authorizing repairs as needed. Ensure that regular maintenance of dental equipment is completed.
  • Ensure dental staff protects patients and employees by adhering to the organization’s infection prevention and control policy and procedures.
  • Ensure dental staff are properly trained on how to prepare, sterilize, and clean laboratory and healthcare equipment and instruments. Report defective equipment and/or devices to supervisor or appropriate personnel. Check sterile supplies to ensure that they are not outdated. Operate and maintain autoclaves, keeping records of maintenance procedures performed.
  • Initiate and/or coordinate with ADD/HCM in investigating and addressing applicable patient complaints in CATCH; inform appropriate individuals such as HCM and ADD as needed.
  • Assist HCM in preparing, monitoring, and controlling clinic budget; ensure compliance with dental grants.
  • Maintain compliance with third-party payors, contracts, and grants relevant to clinic operations.
  • Monitor and assure the quality of operations (QA); analyze data regarding patient services.
  • Participate in quality and process improvement work; assist in preparing and collecting data for departmental scorecard performance measures, and make recommendations for improving departmental performance.
  • Inform Providers and staff with new and/or updated regulations, policies and procedures, and other pertinent information; and resolve issues or concerns.
  • Partner with the HCM and ADD in coordinating and implementing changes in protocol and procedures.
  • Work in conjunction with Finance and the Dental Patient Services Supervisor on any changes to dental insurance and coverages to ensure compliance.
  • Ensure that dental licenses for providers and DA teams are properly displayed and up-to-date.
  • Ensure dental support staff are responsible and accountable in complying with all applicable federal, state, and local laws, regulations, standards, and ICHS policies and procedures.
  • Report to work as scheduled and on time. Work with HCM and ADD to set work schedule.
  • Provide leadership in achieving and maintaining accreditation.
  • Support and troubleshoot daily processes, systems, and operational issues.
  • Participate in agency committees as assigned by HCM.
  • Plan, conduct, and/or coordinate meetings, including preparing agendas and taking notes.
  • Perform back-up duties of assigned staff.

Qualifications:

  • High School Diploma or equivalent required
  • Associates degree preferred
  • Completion of an accredited dental assistant program preferred.
  • Active WA State Dental Assistant license required.
  • 5+ years of experience as a dental assistant
  • 2+ years as a Supervisor or Lead preferred.
