Oversees the day to day operation of the front desk including answering phone calls; Greets all office visitors, guests, and members professionally. Responsible for a variety of administrative and clerical duties to help improve efficiencies at Touching Angels. The Admin Assistant is a communications resource for all clients and home care staff in the field.

Provide support to all executive employees, nurses, clients, and customers. The administrative assistance is efficient and comfortable being a member of a team. The ability to multi-task, while assisting in coordination of client care issues and caregiver schedules. Is an overall problem solver, resourceful, and well-organized Admin. Provides clerical support including typing correspondence, reports, and documents; maintaining filing systems; and coordinating daily interoffice activities.

Job Description

· Answer and filter all calls, and transfer calls to the necessary personnel

· Assisting HR in calculating caregivers’ hours, and calling caregivers if hours are deficit

· Creating and breaking down Clients/Caregivers folders

· Ensuring Folder compliance with Client/Caregivers folders

· Be able to Fax, Scan, Copy, Email and Text

· Any changes to the client or caregiver’s information are to be updated in Axis system and the appropriate party(s) informed

· Receive interviewees and assist with the paperwork process for new hires

· Schedule client visits for intake coordinator and enter on outlook calendar

· Update the excel client roster

· Conduct reports and follow up on the reports for any errors

· Other duties as assigned

Requirements

– Be able to work in a fast-paced environment

– Be organized and able to prioritize multiple tasks

– Be comfortable with Microsoft Outlook, Excel, and Google Email

– Understanding of the LTSS software (Preferred)

– Understanding of AXIS (Preferred)

– Active CNA (Required)

Job Type: Full-time

Pay: $18.00 – $20.00 per hour

Experience:

  • Home Care: 2 years (Preferred)
  • Administrative Assistant: 1 year (Required)

Education:

  • High school or equivalent (Required)

License:

  • CNA/GNA (Required)
