Medical Receptionist – Holy Name Primary Care & Specialty – Teaneck, NJ

Requirements:

Education: HS diploma or equivalent experience required

Skills: Medical Terminology and strong customer service skills required

Experience: 1+ years experience


Essential Functions of the Job:

  • Answers phone, schedules patient appointments in strict adherence to physician schedule, keeps abreast of physician’s overall routine schedule in order to contact physician with messages when he/she is not in the office. Assures that all messages are communicated accurately
  • Greets patients in a friendly and professional manner.
  • Obtains completed registration forms for each new patient
  • Updates demographic profile at each patient visit.
  • Collects payment for services rendered at the time of appointment and for any past due balances.
  • Processes requests for patient medical records and/or patient information during office sessions (i.e., patient records, diagnostic test results, other healthcare facilities).
  • Reschedules patient appointments as needed (i.e., physician unavailable, delay in appointment schedule, cancellation of physician session).
  • Activate and de-activate phone service at the beginning and end of clinic session.
  • Responsible for reviewing the physician on-call schedule with the phone service at the end of clinical hours (i.e., Monday – Friday and weekend hours).
  • Responsible for delivery of messages to staff throughout the day.
  • Review and/or update patient insurance information.
  • For managed care patients, follows established protocols for necessary authorizations from the patient for scheduled office visit.
  • Depending on the practice, may obtain pre-authorization for various procedures ordered by the physician for individual patients, schedules the patient for the service..
  • Distributes correspondence and patient information from patient medical records in accordance with established policies. Photocopies and processes forms.
  • Opens, date stamps and distributes mail. Pulls medical record for all diagnostic test results and consults received, attaches mail to the chart for physician review. Performs follow-up required by physician when chart is returned.
  • May be requested to substitute for other office personnel as trained.
  • Adheres to Compliance Plan

  • Team player, works well with other members of the staff.
