Essential Functions:

  • Prepares manual deposits. Deposits all checks on a daily basis after applying the payments against AR. Reconciles all bank accounts daily.
  • Prepares, reviews and mails monthly customer statements.
  • Posts customer payments by recording cash, checks, and credit card transactions.
  • Posts revenues by verifying and entering transactions.
  • Verifies validity of account discrepancies by obtaining and investigating information from sales, trade promotions, customer service departments, and customers.
  • Resolves customer accounts by examining payment plans and payment history to determine if collection letters need to be sent out on delinquent accounts.
  • Summarizes receivables by maintaining invoice accounts, coordinating monthly transfer to accounts receivable account, verifying totals, and preparing reports.
  • Assists other finance areas such as accounts payable and sales commissions.
  • Runs open order report monthly and advises on back orders and clears old purchase orders.
  • Maintain and develop positive business relationships with a customer’s key personnel involved in or directly relevant to a logistics activity.
  • Develop an understanding of customers’ needs, and take actions to ensure that such needs are met to avoid back orders and disruption to customers
  • Assess and address customer complaints in a timely manner.
  • Address back orders on a daily basis
  • Confirm scrub receipts and close out cases in GSS in real time.
  • Daily and direct communication with customers and sales reps regarding any shortages and options. Communicate same with Purchasing.
  • Correct any discrepancies with sales reps, hospital purchasing, sterile processing department managers
  • Liaise with distributors, and hospital staff on any pertinent issues


Education and Experience:

  • Three (3) + years of customer service and order entry work experience.
  • Three (3) + years of general bookkeeping or related work experience.
  • Associates Degree preferred.
  • Knowledge of MS Office Word, Excel, Outlook, Access, and Project (or similar products) is required.

  • Must possess excellent customer service skills, attention to project detail and the development of alternative plans to ensure satisfactory deliver of supplies, material, and equipment in accordance with contract terms.
