Director of Administration – Heritage Equipment – Wasco, CA

Heritage Equipment Company (HEC) is a farm equipment company.

We currently seek to fill the position of Director of Administration.

Fundamental Objective:

  • The Director of Administration performs high level administrative support activities for multiple department leaders, including the General Manager and President. This position will direct the entire administrative department working closely with HEC executive staff and department managers to provide reports, spreadsheets, word processing, and workflow monitoring. This key position will oversee the intricacies of all the administrative processes within the business unit through communication, analysis, organization coordination and process improvement

Essential Functions:

  • Create spreadsheets and database reports to provide managers and executive staff relevant and timely information to improve business efficiency.
  • Present financial statements, earnings or activity reports, or other performance data to measure productivity or goal achievement or to identify areas needing cost reduction or process improvement.

  • Assist company executives in coordinating activities of the business or departments concerned with the production, pricing, sales, or distribution of products.
  • Gather, generate, and provide information to control budgets for business operations, equipment, personnel, and supplies.
  • Assist executive staff in the coordination of financial or budget activities to fund operations, maximize investments, or increase efficiency.
  • Confer with business leaders on the development of production schedules or work orders to departments.
  • Compile and prepare documentation related to production sequences, transportation, personnel schedules, or purchase, maintenance, or repair orders, to determine best course of action.
  • Assist in projects that will create greater efficiencies (i.e. conversion to a primary paperless work environment, work orders, billing, field operation forms etc.)
  • Help analyze and interpret financial, operational and production data.
  • Direct administrative activities directly related to supporting field operations and all other business activities.
  • Monitor assignments, deadlines and progress of multiple projects within assigned division to ensure accountability between the entire business unit.
  • Serve as the primary contact for device management to all staff. Maintain and provide all IT equipment for the organization; provide telephone or tablet support related to networking or connectivity issues; perform routine maintenance or standard repairs to IT equipment; and assist on all technology matters as directed.
  • Attend monthly management staff meetings as directed.
  • Provide support to executives in the creation and management of the annual capital expense budget.
  • Primary contact in all dealings with the company’s financial institution for financing new equipment purchases/lease program.

Work closely with sister companies as needed so that the appropriate continuity is provided

Supervisor Responsibilities:

  • Responsible for ensuring the ongoing day to day effective operations of all assigned staff.
  • Provide and ensure effective on-the-job training, and assure that staff duties, responsibilities, and authority are clearly defined and effectively communicated to new incumbents.
  • Monitor performance of assigned staff.
  • Ensure optimum performance of essential functions under supervision. Recommend and implement techniques to improve productivity, increase efficiencies and cut costs while making use of state-of-the-art technology.
  • Supervise within scope of authority and consistent with company objectives, guidelines, policies and procedures.

Education and Work Experience:

  • High school graduate or equivalent with a minimum of five years progressively responsible experience in orchard operations supervision or a 2-year degree in Agriculture, Business, Engineering or related field and seven years cumulative experience in orchard operations or an undergraduate degree in Agriculture, Business, Engineering or related field.
  • Demonstrated strategic management of agriculture harvest operations, preferably in Almond or Pistachios.

Minimum Qualifications:

  • High school graduation required. AA Degree or equivalent is preferred; or analytics course that shows a proven experience in advanced excel skills is preferred.
  • Minimum five years’ experience in an administrative support role.
  • Advanced knowledge of Microsoft Office, to include Excel, Word, Power Point and Business Analytic Software
  • Advanced level skill in word processing to include customized spreadsheet applications.
  • Advanced analytic skills desired.
  • Valid California driver’s license and motor vehicle record acceptable according to Company auto insurance carrier’s guidelines.
  • Experience in IT device management.
  • Self-directed individual who can take the lead on issues to identify and implement solutions with team input.
  • Adaptability to changing situations and have the ability to perform multiple tasks with multiple priorities.
  • Superior organizational and project management skills and experience leading and managing people.
  • A general aptitude of software systems.

Salary Range: $60,000 – $80,000 (DOE). This position includes 40 hours of sick pay + 80 hours of vacation pay, retirement plan, 90% employer paid premium for medical benefits and 100% paid dental and vision for employee; and comes with a great Performance Based Compensation Bonus.
