We are seeking to hire a full time Executive Administrative Assistant to support our CEO located in Eagan, MN or Renton, WA. 

 

Major Duties & Responsibilities:

  • Handles details of a confidential nature and performs administrative functions based on understanding of company policy, executive’s views and philosophy
  • Reviews and prioritizes pharmacy site visits report for additional CEO follow up
  • Manages FTE approval processes and timelines to ensure deadlines are met/exceeded
  • Assembles executive reports, dashboards and coordinates collection of ad hoc materials and information
  • Plans and coordinates field operations and functional on-site quarterly meetings and events.
  • Monitors and identifies critical and/or urgent situations requiring immediate executive attention
  • Coordinate travel arrangements – including car, flight, hotel accommodations
  • Calendar access and scheduling
  • Email coordination and management to ensure prioritization and elimination on non- business critical information
  • Coordinates and arranges meetings, prepares agenda, reserves/prepares facilities:
    • Corporate Functions
    • Quarterly Business Reviews
    • Executive staff meetings
  • Coordinates all aspects of expense reporting for CEO.
  • Preparing/copies of material in preparation for meetings
  • Prepares and manages contracts for review, and approval including delegation of authority and processing of signed/executed agreements (both external and intersegment to UHG enterprise)
  • Develops and assembles executive summaries using word, excel and/or PowerPoint templates.
  • Creates presentations including excel spreadsheets, graphs and charts using MS office tools and technology.
  • May be required to respond to emails/calls during non-business hours to support changes in travel or meeting accommodations
  • Potential for travel up to 10%
  • Other duties assigned as needed

 

Educational or Skills Requirements:  

  • Ability to maintain professionalism and composure under stressful situations
  • Minimum 3 years prior executive administrative experience
  • Excellent communications (oral and written) and interpersonal skills
  • Extensive knowledge of office operations
  • Entrusted with highly confidential and sensitive information
  • Constant exercise of independent judgment
  • Ability to prioritize, work independently, take initiative, and handle multiple tasks in a professional and organized manner
  • Demonstrates strong expertise in Microsoft Office Suite (specifically outlook, word, Excel and PowerPoint) and other technical systems such as SharePoint
  • Demonstrates strong expertise in self-service enterprise applications and systems.
  • Ability to coordinate meeting plans, schedules, and events in a detailed and cost effective manner
