Job Description:

Caring Communities, a community-based nonprofit organization, is searching for a reliable, qualified administrator to manage and oversee the daily administrative tasks and procedures associated with the organization’s three reproductive health clinics and field-testing program. 

The candidate should have knowledge of healthcare regulations and must be able to successfully monitor and report on departmental deliverables, maintain patient records, ensure compliance with applicable local, state, and federal standards and regulations, develop and maintain employee schedules and files, and work in conjunction with other agency departments.

Essential Duties and Responsibilities: 

  1. Supervises department staff members and oversees administrative tasks including setting staff schedules, organizing and tracking relevant departmental training, time keeping, and other similar duties as assigned.
  2. Assists in the hiring of general and clinical staff.
  3. Coordinates with executive administration and clinical staff to improve the healthcare administrative process.  
  4. Ensures agency policies and standard operating procedures (SOPs) are carried out across all departmental programs including the clinics and field-testing program to ensure compliance with relevant OSHA, HIPAA, Title X, State, and related regulations; assists in updating and the creation of additional SOPs, if necessary, to ensure continual compliance. 
  5. Oversees patient record and department billing systems. 
  6. Monitors and reports on the quality of care provided by the department and implements quality improvement initiatives to continuously enhance the level of service.
  7. Works in conjunction with agency executives on relevant initiatives that can lead to the expansion of clinic services/programs. 

Requirements:

Education

  • Bachelor’s degree in a relevant field from an accredited college or university; A track record of relevant work experience will also be considered 
  • 3+ years of successful experience administering similar programs and directly supervising others
  • 2+ years of experience managing health records, billing and medical insurance

  • Knowledge of medical terminology, EHR’s, PMs, telehealth, and testing technologies. 
  • Ability to operate agency and department specific software systems, standard office equipment (machines, tools, and devices) used in performing essential functions including computer related equipment, copiers, and telephones.

Physical Requirements or Licenses

  • Ability to lift and move up to 35 pounds.
  • Valid PA driver’s license required.

Application and Hiring Process

Interviews will be on a rolling basis until the position is filled. Initial applicants will be reviewed beginning on March 6, 2023. Those candidates selected for further consideration will be contacted with five business days of the initial review process to schedule an interview.
