Wellness Center Receptionist / Front Office & Marketing Coordinator – Advanced OC Wellness – Newport Beach, CA

Part time receptionist opportunity in growing wellness center. We offer chiropractic care, acupuncture, dry needling and cosmetic micro-needling services and treat a wide variety of patient populations ranging from prenatal to athletes. Our clinic is intimate and is also home to a wonderful independent holistic aesthetician. We are looking for the right candidate to compliment the light, easy going energy of our office and keep everything flowing smoothly!

Job Summary

The right candidate is a positive, professional person who learns quickly and has a keen attention to detail. You will assist with the daily operations in the clinic, ranging from reception duties to office tidiness and creative collaboration and execution of social media and other marketing strategies.

Front Office Duties & Responsibilities

  • Greet patients upon arrival and ensure that all necessary online new patient forms have been completed.
  • Schedule and coordinate appointments for new and established patients.
  • Apply reasoning skills to maximize the daily schedule to fill the day and assist with room clean up as needed to allow for the seamless flow of appointments.
  • Verify insurance benefits as needed. Understand and be able to explain the office’s relationship/contract status with various insurance companies and how this affects a patient’s coverage (or lack of coverage). Communication of financial obligations needs to be very clear.
  • Have a basic understanding of treatments offered by the provider and be able to answer commonly asked questions to guide patient choices when making an appointment.
  • Handle confidential information and communicate only to it’s intended audience.

Marketing & Business Development Duties and Responsibilities

  • Proficiency with Social Media a must.
  • Staying up to date on current social media trends and how this office can capitalize on them.
  • Be Creative!
  • Help batch and schedule social media posts/captions and other content for seamless execution.
  • Experience and proficiency with Google and other search engine platforms a major PLUS!
  • e-mail marketing campaign ideas. Anticipation of holidays, “national/international” days of relevance and how we can leverage email campaigns to communicate and generate appointments.
  • Any and all other expertise in this area are welcome and encouraged!
  • **Maintaining accountability and follow through in this area is very important. I don’t want to simply talk about ideas without executing them.
