Admissions Office Staff Assistant

Duke School of Nursing

General Purpose:
Perform duties related to the functions of the Office of Admissions. Perform responsible administrative and secretarial duties of a complex and confidential nature in support of major departmental or divisional activities to maintain efficiency in organizational operations.

Supervisor:
This position reports to the Director of Admissions and Recruitment

Essential Duties

Data Entry:
Expeditiously and accurately receives and reviews documents delivered to the Office of Admissions; scans/indexes and routes documents utilizing established system.

Receives, screens, and responds in a timely and accurate manner to transcript related inquiries on the phone or in writing.

Accurately and efficiently loads prospect/application data into the recruitment system.

Customer Service:
Provides excellent customer service and maintains good public relations with both internal and external customers.

Serves as the primary receptionist for the Office of Admissions. Triage all incoming calls and directs accurately and appropriately; greets visitors. Gathers, sorts, scans, and processes incoming mail; handles all outgoing mail and/or packages. Assists with or independently handles large mailings.

Greets, screens, and routes students and other visitors to appropriate departmental and campus resources; assists them with the enrollment process.

Helps students utilize online resources. Accurately explains application requirements, necessary documentation, and admissions /enrollment processes.

Responsible for opening and closing the office, including managing signage and phone messages at times when the office is closed during regular business hours.

Responsible for answering phones, retrieving messages based on established office procedure.

Support for on-campus and virtual recruitment and retention events as needed.

Maintain documentation of purchases made by office staff.

Perform other related duties incidental to the work described herein.

Minimum Qualifications

Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.

Experience

Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities OR and equivalent combination of education and relevant experience.

Preferences:
This position is best filled by an individual with advanced clerical and data entry skills who also possesses well developed communication and organizational skills in order to respond to a high volume of inquiries from a variety of constituencies with tact and diplomacy. Excellent computer skills are required. The incumbent must be detail oriented in order to effectively prepare and process the various parts of the application package which are submitted at various times during the admissions cycle. Experience with in a CRM system, preferred SLATE.
