Intake Coordinator – White Glove Community Care, Inc – Spring Valley, NY

White Glove Community Care, one of NY’s Largest Home care agency is seeking to hire a Bilingual Intake Coordinator.

The coordinator will be responsible for imputing new patients, recording their personal details, gathering medical histories, and obtaining any health insurance information they have.

To be successful as an intake coordinator, you should be highly organized and detail-oriented. Top candidates will also have excellent interpersonal skills, with a strong aptitude for great customer service.

Intake Coordinator Responsibilities:

  • Welcome calls to patients.
  • Completing all admissions paperwork.
  • Verifying medical insurance coverage and benefits for each patient.
  • Answering phone and email inquiries.
  • Performing clerical work, such as filing, copying, and faxing.
  • Preparing and maintaining patient files.
  • Complying with the regulations and policies of the facility.

Intake Coordinator Requirements:

  • High school diploma or GED.
  • A minimum of two years’ experience in patient intake or medical office administration.
  • Strong affinity for customer service.
  • Working knowledge of office management and filing systems.
  • Excellent organizational and time-management skills.
  • Great communication and interpersonal skills.
  • Proficient computer literacy.
  • Ability to work in a fast-paced environment.

Some detailed responsibilities include:

New Case Entry: Create and complete patient file with accurate information; Follow up daily to complete any missing info from patients file; Eligibility is checked prior to SOC, ensuring our database and EPaces matches.

Authorization: Ensuring Auths are received and uploaded within 24 hours of SOC; Authorization number and service code entered correctly, ensuring all scheduled hours are billable; Units calculated and documented in authorizations note for vendors who provide total number of units; Written auth is matched with portal auth for required vendors.

Patient Introductions: Complete intro calls and start case within 48 hours of receiving the case, unless otherwise requested by patient

Documentation & Communication: Upkeeps effective documentation in HHA Exchange on the progress of all new cases; Informs team lead or manager on delays in SOC, or schedule changes for new patients; Informs coordinators and manager before SOC of new case.
