Manager, Radiology Scheduling/Reception

The Manager of Radiology Scheduling/Reception is to provide daily operational supervision and leadership for staff in all Radiology Patient Access/Registration and Scheduling areas. Responsibilities include ensuring quality, timely and courteous registrations and appointment scheduling while working with all registration and scheduling/call center staff; providing training and support as needed, with a strong focus on performance excellence and patient satisfaction. Monitors and trends Key Performance indicators for Patient Access/Registration and Scheduling. Patient Access/Registration priorities include minimal wait time for registration and insurance verification completed before patient arrival. Scheduling priorities include minimal abandoned calls, minimal wait time for scheduling, and insurance verification completed before patient arrival. Coaches, mentors and trains staff to new processes and procedures as needed. Communicates with the Administrative Director regarding all registration and scheduling activities. Runs, works, and/or reviews Daily/weekly/monthly departmental QA reports and other performance/productivity summaries for compliance with departmental standards.

Qualifications:

  • Bachelor’s Degree in Healthcare Management or in a Related Field preferred.
  • Five years of Radiology Patient Flow or Healthcare experience preferred.
  • Demonstrated Leadership Ability required.
  • Medical Terminology preferred.
  • Current ICD/CPT Coding experience preferred.

Responsibilities:

  • Knowledge of computer operation.-HIS, RIS, PACS and other hospital or registration related computer programs.
  • Provides ongoing in service to Medical Imaging Department personnel and obtains user numbers for appropriate personnel from IS dept.
  • Effectively motivates Radiology Reception team to meet high levels of Service Excellence. Ensures staff is scheduled appropriately and in accordance with volume and workflow indicators to ensure compliance with departmental goals and uninterrupted patient service.
  • Develops, establishes, implements, and evaluates systems to monitor accuracy and timeliness of Scheduling, abandoned calls, and wait times. Monitors up-front cash collection efforts and provides timely feedback to management team for fiscal responsibilities. Ensures compliance with all laws and regulations pertaining to Registration, Admitting, and Credit and Collections.
  • Monitors and trends Key Performance indicators for Patient Access/Registration. Report trend results and reports finding to Imaging Director with recommendations for improvement as needed.
  • Write, review, update and implement policies and procedures within the unit.
  • Have a good working knowledge of employee duties and be able to perform those duties when needed
  • Maintain and understanding and knowledge base of participating insurances requirements, insurances authorization requirements and basic CPT, ICD-10 codes and medical terminology.
