JOB DESCRIPTION: FRONT DESK REGISTRATION – FULL TIME

  • REPORTING RELATIONSHIPS
  • Reports to Office Manager or Administrator.
  • INTERNAL RELATIONSHIPS
  • Communicates with patients, families, nursing staff, clinical office staff and providers.
  • MAJOR DUTIES AND RESPONSIBILITES
  • Greets and checks in patients and visitors
  • Provides routine information and schedules appointments.
  • Clerical office duties including but not limited to completing disability and FMLA forms, outbound medical records and entering patient demographics.
  • Accepts and records patient co-payments while maintaining balanced cash drawer.
  • ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Regular and punctual attendance
  • Greets and registers patients, visitors and salespeople at the window in a prompt, courteous and helpful manner. Ensures accurate billing and insurance information is entered into the computer.
  • Assists with registering patients, updating patient records, and receiving payments for service provided.
  • Sends new patient forms via mail or patient portal when appointment is made.
  • Schedules appointments, cancels and reschedules appointments as directed.
  • Monitors visitor access and issues passes when required. Oversees reception area and report problems or irregularities.
  • Screens visitors (i.e. pharmaceutical representatives and sales people), respond to routine request for information/services and/or direct visitors to appropriate medical staff. Schedules lunches for pharmaceutical representatives.
  • Tracks all patients who were “No Shows” for appointments, creates alerts and sets recalls when necessary.
  • Directs patients in filling out record request forms and disability forms.
  • Maintains cash sheet by recording payments and daily balances of the cash drawer.
  • Calls FedEx or UPS to arrange pick-ups, also take care of packages that arrive from UPS or FedEx.
  • Post mail and take out daily at 10:30.
  • Call for interpreters in advance of appointments if scheduled an appointment.
  • Enrolls patients in patient portal.
  • Maintain the pharmaceutical reps scheduling meals.
  • Uses text message system according to protocol.
  • Maintains information in a confidential manner.
  • Adheres to the attendance policies per specific department. Present between the hours of 8:00 am and 5:00 pm and additionally as requested by management.
  • All duties and responsibilities must be adhered to in a manner that complies with all Federal and State laws, UPC/USC standards of conduct and compliance plan and centers for Medicare and Medicaid condition for coverage.
  • During a Designated Health Emergency, the following become an Essential Duty:

  • Disinfect surfaces that patients and staff members come in contact with during the course of business. This will entail using an approved disinfection agent to wipe off countertops, clipboards, exam room chairs, etc.
  • Other duties may be assigned.
  • SUPERVISORY RESPONSIBILITIES
  • This job has no supervisory responsibilities.

  • WORK, EDUCATION AND SKILLS
  • High School Diploma or GED
  • One to two months related experience and/or training
  • PHYSICAL REQUIREMENTS
  • Must be able to sit for long periods of time, and be able to hear normal conversation.
  • WORKING ENVIRONMENT
  • The noise level in the working environment is usually moderate.

Job Type: Full-time

Pay: $12.00 – $14.00 per hour
