340B Program Coordinator – St. Croix Regional Medical Center – Saint Croix Falls, WI

Overview:

St. Croix Regional Medical Center is currently seeking a full time 340B Program Coordinator.

The Pharmacy 340B Program Coordinator is responsible for maintaining the health and compliance of the 340B program including but not limited to: HRSA and OPA compliance, auditing of 340B eligible claims, auditing of 340B medication purchases and accumulations, and 340B financial reporting. This position optimizes the program financial health by performing routine Contract Pharmacy outreach and identifying new Contract Pharmacy and Patient Program opportunities, as well as a variety of support tasks and all other assigned duties. The Pharmacy 340B Program Coordinator develops opportunities, manages, investigates and corrects program discrepancies / duplicate discounts. This position emphasizes on resolution of issues identified by 340B analyst and maintaining the financial health of the program.

The Pharmacy 340B Program Coordinator is responsible for the abstraction and validation of pharmacy data and reporting. This position understands the meaning of the data and then synthesizes the data for groups and teams to make informed business decisions based on the information delivered. This positon will complete pharmacy related financial forecasting, reporting, and operational metrics tracking as required for development of program recommendations.


Essential Duties:

  • General Duties and Responsibilities:

    • Abstracts, reports, analyzes, manages, documents, and tracks data and trends related to the 340B program and pharmacy operations.
    • Supports pharmacy team and works as a business partner with operational leadership.
    • Understands and communicates discrepancies and trends to support compliance, forecasting, budget, and monthly analysis.
    • Supports complex ad hoc analysis including new services or medications, and drug or supply expense management.
  • 340B Program Specific Job Duties and Responsibilities:
    • Maintains 340B program compliance with HRSA and OPA
    • Tests, audits and maintains the compliance of the 340B Program to ensure clean data (accumulations and purchases) are provided to the 340B split billing software.
    • Maintains the 340B Program financial dashboard to include data integrity, program savings, financial reporting and audit results.
    • Develops and maintains Contract Pharmacy outreach and identifies new Contract Pharmacy opportunities. Performs frequent Contract Pharmacy outreach via phone or email and routine in person visits to resolve issues and maintain program health.
    • Audits, maintains, and develops new Patient Program opportunities.
    • Investigates and addresses 340B Program discrepancies.
    • Keeps up-to-date on legal and regulatory changes to ensure ongoing adherence to 340B Program requirements.
    • Provides internal audit functions regarding the 340B Program to the organization using industry-approved methodology and tools; plans, performs and documents audit activity across a broad range of functions throughout the system.
    • Facilitates the development and use of safeguards and internal controls to ensure regulatory compliance to the 340B Program Requirements.
    • Identifies potential and actual risks regarding the 340B Program, and reports to leadership.
    • Daily validates clinic administered medications for appropriate charges and 340B billing modifiers
    • Updates clinic administered medication charges quarterly and supports clinic team on medication billing related questions.
    • Manages projects, audits and data analysis independently with limited supervision.


Qualifications:

Education & Licensure:

  • Bachelor’s degree in Business Administration, Finance, Healthcare Administration, Business Analytics, Accounting, etc. or
  • Associate’s degree in related field with 8 years of Healthcare-related analytic experience
  • Apexus 340B Advanced Operations Certificate Program completion recommended within 12 months of hire

Experience:

  • Minimum 2 years pharmacy related experience preferred
  • Minimum 2 years data analytics experience preferred

  • This position requires operational knowledge of computer information and technology, auditing and analytic functions, regulatory compliance to the 340B Program.
  • This position requires working knowledge of the organization’s computer programs and data management necessary to perform job duties. This includes those interfacing the 340B split billing software, electronic medical record, dispensing cabinet reporting, and pharmacy billing. This position further requires knowledge of healthcare billing and coding.
  • Must have the ability to plan, develop and manage projects/programs.
  • The employee must be professional, service oriented and have highly developed skills in: customer service, interpersonal interactions with all levels of the organization; written and verbal communication; organization; multitasking, time management, critical thinking, sound judgement, and work/project prioritization.
  • This position is responsible for assisting the organization in adhering to applicable laws, regulations and internal controls to the 340B Program. This position performs a wide range of auditing and analytic duties. Those include the maintenance of a robust 340B Drug Discount Program. Essential skills include auditing, statistical analysis, and knowledge of computer technology and data management. This position works closely with various levels of leadership, primarily in Pharmacy, Compliance, Finance, and Revenue Cycle.
