JOB SUMMARY:

This job code is for those who need Electronic Medical Records access as part of their role. Performs administrative and business support related duties of a complex nature in support of an area with minimal guidance. The Division of Surgical Oncology and Endocrine Surgery is looking to add an administrative assistant to its team. The division of Surgical Oncology and Endocrine Surgery has 15 surgeons, 6 Advance Practice Practictioners and one Breast Surgical Oncology Fellow. This Administrative Assistant will be joining an administrative team that has 2 administrative assistants and 2 surgery schedulers. The ideal candidate will have strong communication skills- written and verbal, be a team player, and have the ability to multi-task and manage tasks with limited supervision. KEY RESPONSIBILITIES:

  • Performs a variety of administrative support which may include, but not limited to, scheduling, booking travel and budget reconciliation.
  • Calendar management

  • Recordkeeping and monitoring faculty licensures and membership dues
  • Paying licensure renewal and membership dues fees
  • Provider provider communication
  • Answer and route incoming calls
  • Monitor supplies
  • Assist the General Ledger reconciliation
  • Assist with faculty CV and Educator Portfolio
  • Complete Faculty Time Away
  • Complete Provider Time Away
  • Assist with faculty reappointments
  • Assist with faculty recruitment and onboarding
  • Scheduling meeting and conferences
  • Booking travel and submitting for reimbursement
  • Ensuring conference registrations are paid
  • Ensures data/records are created and maintained to document financial, planning, correspondence, procedures, processes and other information.
  • Compiles data, analyzes information and summarizes findings in support of an area.
  • Prepares reports and other documentation as requested.

Position Qualifications:

High School Diploma or GED (or equivalent experience) and 4 years relevant experience. (**strong work-ethic, with a proactive, positive disposition, excellent communication skills (both oral and written) and commitment to high quality results strongly preferred**)
