FT position ($55,000 annual salary, commensurate with experience)

Summary: Growing and dynamic healthcare staffing technology company with 50% growth YOY for the past four years, needs an experienced Payroll Manager with prior Payroll experience. You should be exceptionally organized, highly competent, have some managerial experience in a similar position, be detail-oriented, and an exceptional communicator. You must be able to stay calm under pressure and heavy workloads. You should be amiable and able to work and communicate with many people across the company, including our Account Managers who will go to you for assistance with payment issues for their nursing staff. This is a high-growth, fast-moving company and we are looking for a vibrant, positive, highly competent, and extremely detailed individual to assist with our internal payroll and financial needs. The ideal candidate will be comfortable with a high volume of interactions and work each day. The nursing field is booming as 10,000 baby boomers retire each day and many eventually require nursing assistance. Our business is scaling along with the industry.

Essential Duties and Responsibilities

Reporting to our current Chief Financial Officer:

· Manage the day-to-day tasks and responsibilities of the Payroll Department. This generally includes:

o Supervise the weekly processing of >1000 timecards along with a 6-person dedicated timecard team

o Supervise a payroll coordinator (payroll assistant) as well as 1-2 payroll interns

o Manage the payroll help-desk telephone line as well as our payroll customer service email address to ensure that questions and/or issues are being dealt with timely, professionally and efficiently.

o Assess our off-cycle payroll runs (advances, advance re-pays, stop payments, etc.) via our Payroll ticketing system. Organize the timely payments of off-cycle payments

o Manage timely submission of all workers comp and disability claims

o Ensure compliance with various State Payroll statutes and spearhead the proper registration of new States

  • Handle a large volume of calls with the ability to resolve administrative issues and properly route calls to the proper Account Manager
  • Create weekly payroll batches in ADP Workforce-now for various payroll promotions and other add-ons
  • Provide accounting and internal audit with weekly payroll reconciliation reports
  • Ad-hoc payroll reporting as required by CFO

Organization and follow-up is key. You should have your own system to ensure that all payroll inquiries and issues are closed. This position is only for the highly-organized. You should also be comfortable speaking on the phone with clients and employees. We are a temporary nurse-staffing agency and will generate over 1500 W2’s in 2020 alone. Nurses will sometimes call in to question their paychecks, change their direct deposit information, request advances, etc.

You must be able to work, daily, 8:30am-5:30pm, with a mandatory break in the middle of the day. Must have at least 2 years of experience working in a fast-paced finance/sales/payroll/accounting environment. ADP experience preferred.

*You will be based in the company’s headquarters in Newark, NJ, once the pandemic passes and workers are allowed and encouraged to work from the office again. In the meantime, you will work from home, and we will supply you with a laptop, VOIP phone and all necessary software.

Pay: $55,000.00 per year
