The Washington State Department of Corrections is seeking a highly motivated and qualified individual to fill a permanent Correctional Records Technician (CRT) position within the Spokane Records Unit located in Spokane, WA. This recruitment may be used to fill multiple vacancies over the next three (3) months.

Duties

As a custodian of offender records, the Correctional Records Technician (CRT) enters, verifies, and ensures offender sentence structure information is in compliance with appropriate laws and agency policy. The CRT processes, verifies and maintains offender sentence structure and criminal history record information provided by criminal justice agencies within the offender management database system in a collaborative effort to improve public safety,

Work Assignments Include:

  • Ensure the contents of offender files are legal, accurate, and maintained in a secure setting.
  • Review and verify accuracy of legal documents.
  • Establish and validate agency jurisdiction of offenders.
  • Verify electronic database information against source documents and resolve problems that relate to the offender sentencing.
  • Verify identification of offenders to law enforcement through pictures, fingerprints, and other physical data.
  • Utilize, update, and maintain databases and programs.
  • Archive offender files.
  • Respond to requests for public disclosures.
  • Testify in court as an expert witness regarding the validity of offender files and identity.
  • Correspond with appropriate court or other legal staff.
  • Complete appropriate offender files paperwork.
  • Other duties as assigned.

Qualifications

Required Qualifications:

  • High School diploma or equivalent.
  • Must respect and maintain confidentiality.
  • Demonstrated ability to effectively communicate with co-workers, the public, and/or criminal justice agencies.
  • Demonstrated ability to analyze and solve problems under highly stressful or adverse situations.

Preferred/Desired Qualifications:

  • Two (2) years’ experience maintaining or processing offender files in a government law office, court setting, or an adult or juvenile correctional agency.
  • College-level course work in criminal justice, business administration, accounting, social science, or a related field will substitute for one (1) year of experience.
  • Knowledge of criminal history document processing.

NOTE: Offender files are defined as records containing certified copies of the original documents relating to the offenders’ crime and sentence. (Offender records are not property files, grievance files, administrative files, slough files, treatment files, parole files, counselor files, custody files, or medical files).
