COMPLIANCE COORDINATOR – Generation Initiative – United States

ABOUT GENERATION

Generation is a nonprofit that transforms education to employment systems to prepare, place, and support people into life-changing careers that would otherwise be inaccessible. The global pandemic has led to an unprecedented surge in unemployment. Even before the pandemic, more than 75 million young adults were out of work globally, and three times as many were underemployed—and 375 million workers of all ages needed to learn new skills by 2030. At the same time, certain jobs remain in high-demand, and 40 percent of employers say a skills shortage leaves them with entry-level vacancies. To date, more than 38,000 people have graduated from Generation programs, which prepare them for meaningful careers in 14 countries. Generation works with more than 3,900 employer partners and many implementation partners and funders.


POSITION OVERVIEW

In March of 2016, Generation Jacksonville launched its first program (IT) through an Out of School Youth (WIOA) grant with CareerSource of Northeast Florida (CSNEFL). Over the past five years, Generation Jacksonville has expanded programming and launched its first Administrative Medical Assistant (AMA) program training for entry-level employees in Jacksonville, FL for medical administrative jobs.

Over the program year, we will recruit, train, and place 250 people into jobs in the tech and medical sectors in Jacksonville. All of Generation’s programs are structured as intensive boot camps ranging from 3 – 12 weeks. The programs offer participants integrated technical, behavioral, mindset, and employment skills training, mentorship support and community services as well as job-placement support when they graduate. We are seeking a talented and dedicated Compliance Coordinator who will be responsible for overseeing the compliance and operational elements of the Generation Jacksonville programs. This work will focus on creating and maintaining a system to collect and manage all student compliance information (recruitment, enrollment, program, and alumni) with both digital and paper files.


RESPONSIBILITIES

  • Program Enrollment

    • Work with program and recruitment team to complete all intake paperwork for student enrollment of qualified prospective students
    • Identify funding source of qualified prospective students and communicate to finance team
    • Determine qualifying barriers for CareerSource eligible students and identify needed documentation
    • Work with student (and families) to collect all required documentation
    • Run TABE testing for all students
    • Run background checks (IT & AMA) and drug screening (AMA) for prospective students
    • Submit complete student applications to CareerSource for eligibility approval and troubleshoot any outstanding issues with applications
    • Collect all student information for direct deposit of stipends
  • During program

    • Work with mentors and instructors to verify Employ Florida (EF) information entry (case notes, measurable skills gains, credentials, activities, etc.)
    • Work with career coaches to record and document all wrap around services
    • Support program team to organize and document financial literacy programing
    • Support program team to organize and document CareerSource one stop requirements (ex.Signs students up for one stop career source meeting for resumes and job search)
    • Work with mentors to ensure that the student’s Individual Service Strategy plan is updated

After Program: Work Experience (WEX), Case Closures, Follow-ups and Audits

  • Work Experience (WEX)

    • Work with students and employers to complete worksite agreements and site onboarding documentation for WEX
    • Work with mentor to ensure that students complete direct deposit information for WEX
    • Work with mentor to ensure that students complete timesheets for WEX
    • Sends CSNEFL a monthly report on WEX enrollment
  • Case Closures

    • Complete employment verification process for alumni
    • Submits any requests for Work Number employment verification from operations team
    • Conduct program post-TABE with students
    • Ensure all activities are entered into EF with supporting documentation
    • Submit completed case files for closure to CSNEFL
  • Follow-ups

    • Track and complete quarterly follow-ups with alumni for 12 months after case closure
  • Audits

    • Prepare all files to be ready for audit at any time
    • Manage and organize all student files from previous program years (2016 – 2020)
    • Respond to CSNEFL audit requests and manage the audit process with program staff
  • Finance and Operations

    • Work with finance team to make sure all invoicing documentation is complete
    • Manage direct deposit information and verification of correct stipend amounts
    • Track employer payments for new hires to Mayo Clinic
    • Update sharepoint spreadsheet with budget for finance team
  • Office Operations

    • Work with finance team and vendors to make sure that all bills are received and disbursed
    • Support Program Manager to manage the office (maintaining property, working with the landlord, etc.)

You are passionate about building systems to support Generation’s work in the Jacksonville community. You are organized, detail oriented, willing to learn, enjoy working on a team, and creating systems of support for all funders and learners.

Specific requirements include, but are not limited to:

  • Previous experience leading compliance related work required
  • Previous experience managing a federally funded workforce program preferred
  • Strong data management skills: strong critical thinking skills, ability to manage data and organize data
  • Experience working in nonprofit/educational programs is highly valued
  • Strong verbal and written communication skills, including interpersonal, organizational, and project management skills
  • Flexible and able to adapt to changing position demands and shifting organizational priorities
  • Ability to multitask, prioritize, problem solve and manage time and stress well
  • Integrity, positive attitude, mission-driven, and self-directed with demonstrated passion for Generation’s mission and commitment to working collaboratively
