Care Coordinator – Engle Center – Remote

Therapist-in-training sought to provide part-time virtual assistance and intake coordination. Supervised telehealth hours offered to California-based AMFTs.

The Engle Center is a group practice in the San Francisco Bay Area. We are hired by introverts who are tired of being held back by anxiety. We use action-oriented approaches such as drama therapy, CBT, and coaching to help clients cultivate the courage needed to build meaningful relationships. Our specialty clinics include the Social Anxiety Support Center and Bay Area Dating Coach.

We are currently seeking a detail-oriented, warm, reliable pre-licensed clinician to serve as our part-time Care Coordinator. This team member will provide exceptional support in the areas of scheduling, billing, intake, and administration.

The Care Coordinator ensures that clients receive exceptional care while engaging our services, from intake through termination. In addition, this team member provides Engle Center clinicians administrative support such that they can focus on and provide excellent treatment to our clients.
RESPONSIBILITIES

  • Respond to new client calls, texts, and emails
  • Shepard clients through phone intake application and scheduling
  • Conduct new client intakes
  • Obtain information about presenting problem
  • Assess fit for services
  • Complete sales conversation
  • Recommend services or refer out
  • Assign clients to clinicians
  • Obtain payment
  • Administrate new client onboarding, including scheduling, billing, and paperwork
  • Update data tracking spreadsheets
  • Attend trainings and supervision
  • Provide information about services to potential clients and colleagues
  • Maintain an in-depth, comprehensive knowledge of clinic services and clinician styles and schedules
  • Reach out to clients periodically throughout treatment and at termination to ensure quality of care
  • Others duties as assigned

QUALIFICATIONS

  • Master in Counseling Psychology or commensurate degree. Graduate students a year or less from graduation are also invited to apply.
  • Pre-licensed clinician, e.g. Associate Marriage and Family Therapist
  • Two or more years of administrative, customer service, and/or sales experience
  • Strong office administration skills
  • Familiarity with Google Drive, Asana, Zoom, and Slack preferred
  • Clear and professional written & verbal communication skills
  • Phone-based customer service and sales experience
  • Data management experience
  • Personal or professional interest or experience with counseling, introversion, anxiety, and relationships

PERSONAL QUALITIES

  • Schedule flexibility:
  • Availability on some weekday evenings or weekends
  • Ability to check and reply to urgent emails and texts as needed outside of scheduled hours “on duty”
  • Comfort setting boundaries and discussing uncomfortable topics such as mental health history, policies, and money
  • Extremely detail-oriented and ability to multi-task, prioritize, and re-prioritize quickly
  • Comfort wearing many hats
  • Collaborative and friendly, a “team player”
  • Warm phone presence and ability to write thoughtful emails and texts
  • Excellent attention to detail
  • Comfort with technology

PHYSICAL NEEDS

  • A quiet confidential space
  • A camera (built into laptop/desktop)
  • Earbuds with a mic
  • Laptop, iPad, or computer that is capable of streaming video
  • Strong internet connection (should be able to attend Zoom meetings or stream on Netflix without an issue)

COMPENSATION

  • Part-time hourly position
  • $18-$20/hr DOE
  • 10-20 hours per week
  • Additional hours, responsibilities, and compensation may be available as the company grows
  • Note: this position allows California-based AMFTs to earn supervised telemedicine hours.
