Client Intake Coordinator – Caravel Autism Health – Green Bay, WI

Caravel Autism Health is seeking an Intake Coordinator to manage the processing and coordination of all referrals for client services utilizing outstanding communication and organizational skills.

Primary Responsibilities

Responsible for the processing of all intakes, inputting data into required databases and maintaining records for clinical services

Schedules Evaluations and Diagnosis appointments. Updates Diagnosticians’ calendars, Portal and Outlook for intake activity.

Acts as a resource to families with questions about the intake process. Mails initial evaluation reports to families.

Uses standard work for client intake and determination of timing for initiation of services. Communicates with families, Clinical staff, Leadership staff, practitioner’s offices, clinical outreach and other stakeholders to keep them informed about clients in the intake process. Leads Intake Update meetings.

May perform initial benefit verification. Collaborates with authorization team for benefit verification and authorization for services.

Distributes family satisfaction surveys. Collaborates with manager to identify and execute appropriate action plans to address identified issues or concerns.

Adheres to Clinic’s policies and procedures, maintains strictest confidentiality; and adheres to all HIPAA guidelines/regulations

Experience

At least one year comparable experience working with clients and/or families in a medical or therapeutic setting.

Previous knowledge and/or experience working with individuals on the Autism Spectrum, or in an ABA therapy setting.

Knowledge of HIPAA privacy and security rules and regulations.

Previous experience working in a medical office environment, including insurance processes, is a plus.

Previous experience with commercial insurance and Medicaid is preferred.

Skills & Competencies

Strong computer skills to include MS Office (Word, Excel, PowerPoint and Outlook).

Ability to abide by ethical guidelines and policies, including strict adherence to confidentiality and HIPAA guidelines.

Knowledge of school programs for children on Autism Spectrum preferred
