Executive Assistant (to practice manager)

Our practices interacts with dozens of clients and potential clients on a daily basis. We are looking for an executive assistant to help prospects sign up to Zeeva’s services. You will also be present at our founder’s home office. You will be focusing on ‘taking stuff off her plate’ as well as organizing everything in our office. (This isn’t a cleaning job. It’s making sure that everything is organized well, so we can utilize our home most effectively as an office.)

You may also be handling all of our social media.

Zeeva is a fast growing practice, and this could quickly morph into a practice manager position.

Job Description:

We are looking for a fun, personable and highly qualified person to join our team. The job is not easy, but it is rewarding.

This position involves:

* Answering phone calls

*Coordinating all aspects of intake process

*Matching prospective clients with the right therapist for them

* Scheduling New Clients

* Reviewing Client Files

* Marketing tasks including – Posting to social media (Facebook/Instagram), posting to Google My Business

* Blog post writing services

* Organizing our home/home office

* Following up with insurance companies either to inquire on status of outstanding claims or on being ‘credentialed’

* Calculating monthly conversion rates

* Update weekly or monthly key performance indicators (KPIs)

* Tracking inbound referrals & following up

* Return calls and match potential clients with therapy services

* Respond to online inquiries for therapy services

* Track incoming referrals on a spreadsheet

* Add new clients and manage existing clients using our EHR

* Answer basic questions about services

* Generally be awesome and helpful

Experience:

· Healthcare Administration / Office Experience. Mental Health and/or medical billing preferred

· Some psychology background preferred. e.g. Having gone to therapy, knowledge of mental health care, or having a BA in psychology.

Pay: $13.00 – $17.00 per hour
