THE ROLE:

The AR/AP Office Administrator supports the Office Manager to ensure that Alliance’s incoming and outgoing cash processes are controlled, effective and efficient. You’ll partner with the Office Manager to execute plans to organize key business activities for the company. The ideal AR/AP Office Office Admin is a hands on, versatile, independent, and proactive team member who is able to adapt to quickly changing priorities. You will be an important partner to the front office staff. This position reports directly to the Office Manager.

RESPONSIBILITIES:

  • Support all tasks related to Accounts Receivable/Accounts Payable. Work with the Office Manager and also independently identify opportunities for profit growth and cash flow improvement across all vendor and customer accounts.
  • Enter bills into QuickBooks and track all paperwork
  • Generate vendor payments and process payments from customers
  • Update reporting systems and support analysis of our business to drive effective process improvement, eliminate operations mistakes and design long term fixes to business gaps.
  • Take initiative to complete unanticipated or ad hoc tasks, and verifying the completeness of one’s own work.
  • Meticulously balance and track daily bank reconciliation for all corporate accounts, including 401k
  • Support HR and Payroll including printing timesheets, obtaining EE approval and ensuring employees’ paychecks are disbursed appropriately
  • Support Benefits by tracking all employees’ sick, vacation, holiday and 401k balances

MINIMUM QUALIFICATIONS:

  • BA/BS degree in Business, Accounting or Operations or equivalent practical experience.
  • 3 years of relevant AR/AP experience including payroll, purchasing and bank reconciliation for corporate accounts
  • Must be proficient in Quickbooks, Outlook and MS Office Tools (PowerPoint, Word, and Excel)
  • Strong project management skills
  • Proven track record of meeting deadlines and successfully managing administrative processes and projects.
  • Expert level written and verbal skills
  • Proven organizational skills that reflect your ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Confidence and a desire to learn new technologies
  • Very strong interpersonal skills and the ability to build relationships with various internal and external stakeholders, including customers and employees
  • Sharp business judgment, and a keen ability to see the “big picture” and to prioritize, while working independently, yet asking for help when necessary
  • Self-starter who enjoys finding ways to improve things without direction
  • High energy, strong work ethic, disciplined execution skills, willingness to do whatever it takes to deliver results
