Temporary Accounting Coordinator, GRAMMY Museum – The Recording Academy – Los Angeles, CA

WHO WE’RE LOOKING FOR:

The Temporary Accounting Coordinator is responsible for the Accounts Payable and Receivable functions for the GRAMMY Museum Foundation, Inc.

WHAT YOU’LL DO:

  • Review invoices to ensure proper approvals and general ledger coding
  • Efficient data entry for invoices
  • Set up and maintain vendor records
  • Research and input cash receipts data into Financial Edge accurately and efficiently on a daily basis
  • Maintain orderly and complete filing system, both electronic and hard copy
  • Research Accounts Payable and Receivable discrepancies
  • Provide customer service to various departments and affiliated entities as it relates to Accounts Payable and Receivable
  • Process credit card transactions and refunds for various departments
  • Stay current with collection emails and calls
  • Prepare monthly employee receivable statements
  • Generate invoices upon request
  • Maintain invoice tracker for weekly Accounts Payable processing
  • Provide various Accounts Payable and Receivable reports to management upon request
  • Maintain effective billing and collection practices for outstanding Accounts Receivable
  • Assist with performing monthly close
  • Maintain 1099 files for appropriate vendors
  • Assist with annual 1099 filing
  • Ensure effective communication with all customers, clients and vendors, both internally and externally
  • Perform other duties as assigned

SKILLS & EXPERIENCE:

  • Four year college degree in Accounting, Finance, Economics or related business field preferred
  • Internship or other experience in Accounts Payable/Receivable or general bookkeeping experience preferred
  • Proficiency in MS Office with strong working knowledge of Excel
  • Knowledge of Financial Edge or similar accounting system
  • Ability to apply basic mathematical concepts with accuracy
  • Attention to detail with solid grammar and punctuation skills
  • Strong organizational and administrative skills
  • Ability to multi-task and work under pressure of tight deadlines
  • Excellent customer service and interpersonal skills with the ability to interact with all personnel in a professional manner
