Responsibilities:

  • Promptly answering calls routed to an appointment queue
  • Scheduling new and established patients using individual provider protocol
  • Efficiently enter data, update demographics, collect accurate telephone numbers, email addresses and insurance information
  • Contact patients from Appointment Reminder System who request a change to appointment time, date or request a new appointment
  • Update disconnected number and emails from “failed delivery” reports
  • Contact patients from recall systems to schedule appointments when medical conditions such as cataracts, glaucoma or diabetes exist or when contact lens patients exceed to time allowed to refill prescriptions
  • Put together packets for surgery counselors
  • Fill in for front desk employees for vacation, illness, lunch etc. (position requires more time standing, less telephone usage, additional work with charts, hands necessary)
  • Fill in for file room employees for vacation, illness, lunch etc. (This position is more physically strenuous, requiring employee to use step stools, lift arms above head, bend over etc. to pull or file patient charts; to walk through the building delivering charts/picking up charts etc.)
  • Medical records – responsible for responding to requests for medical records from patients, primary care physician and specialty physician offices
  • Reschedules patients as necessary for doctor out days using email, letters and phone calls. Documents reschedule activity in patient notes for reference by front desk staff or physicians as well as for other appointment staff members

Ultimately, the position requires a meticulous BILINGUAL individual with a positive attitude, excellent patient satisfaction skills, and product and service knowledge. Individual must be an enthusiastic, devoted, team player that is able to thrive in a group setting.

Qualifications:


  • EDUCATION
    : Minimum high school diploma or equivalent

  • WORK EXPERIENCE
    : Minimum two years’ experience in a medical office/health care setting preferred.

  • COMPUTER SKILLS
    : Strong computer knowledge and skills preferred.
