Hospital Procedure Scheduler – Cary Cardiology – Cary, NC

Our Cardiology practice is seeking an eager, self-motivated scheduler to join our growing office team. The successful candidate would enjoy working in a fast-paced environment and would possess the ability to multitask in a high volume atmosphere. This candidate will work closely with physicians, clinical staff, and external clients and must possess excellent customer service skills and a strong work ethic.

Candidates for this position should be self-starters and must excellent communication and computer skills. The ideal candidate would possess the ability to work well on their own, but also to work well as part of a team as this position will require the flexibility of both. This opening is full-time, Monday through Friday and will work in our Cary office.

Position Requirements:

Previous Procedure Scheduling Experience preferred

Cardiac Medication Knowledge preferred

Cardiac Procedure Knowledge preferred

Referral Experience preferred

EPIC EHR experience preferred

Position Duties Include:

Position is responsible for providing services in a professional and courteous manner. All employees will interact with their team of coworkers in a positive and cohesive manner. All employees will display positive interactions with patients and other guests in the office at all times. Carries out physician orders including but not limited to:

  • Communicate effectively with physicians and all staff team members and clientele
  • Responsible for ensuring proper procedure orders are input in the system by the physician in order to arrange procedures for patients
  • Accurately review all instructions for office and/or hospital procedures including pre-procedure prep with the patient, provide any necessary documentation, and obtain any signatures per office protocol
  • Schedule all necessary post-procedure follow up appointments in a proactive manner in order to secure appointments within necessary timeframes
  • Work closely with the vein and loop device teams to coordinate in office vein procedures and loop implant/removal procedures and ensure open communication with all team members
  • Call patients the day prior to procedures to review instructions and to confirm appointment time and location
  • Under physician direction and utilizing the EHR electronic workflow, arrange outgoing referrals and provide outside practices with pertinent information in order to complete referral scheduling
  • Communicate with authorization team in order to ensure authorization obtained prior to patient procedure date
  • Advise nursing staff and medical record department of all outside testing appointments (i.e. CTA, etc) in order to facilitate follow up on obtaining results and to facilitate clinic follow through and continuity of care for our patients
  • Per physician orders, assist patients in scheduling outgoing referrals
  • Follow up with patients who have not scheduled with the outgoing referral provider and communicate any issues with the physician/nurse and medical record teams
  • Responsible for maintaining the procedure and outgoing referral work queue in the EHR including updating the current up to date status
  • Accurately maintain physician weekly schedule update to include appointments, meetings, clinic dates, and procedure times and locations, as well as, providing daily reminders and updates
  • Receive and prioritize incoming calls from hospital staff (i.e. NPs and physicians) requiring scheduling assistance for office appointments for patients being discharged from the hospital
  • Assist with checking out patients in high volume as required
  • Other tasks may be assigned after completion of applicable cross-training
  • Maintain and observe all OSHA and HIPAA protocols and standards
