Staff Assistant, Area Planning and Development – MASCO, Inc. – Boston, MA

The Medical Academic and Scientific Community Organization (MASCO) is a non-profit organization dedicated to enhancing Boston’s Longwood Medical Area (LMA) for the benefit of those who work in and visit the area. MASCO is seeking a motivated Staff Assistant: to provide admin support to the Vice President of Area Planning and Development (APD). This is an exciting opportunity for an administrative professional to become a part of an outstanding team that strives to improve the quality of life and foster a sense of community in the LMA for patients, residents, employees, students, and visitors.

Collaborating with member institutions, as well as state, city and community agencies, the APD Department plans and implements improvements in transportation and access for optimal pedestrian, bicycle and vehicular traffic, long-range land use, urban design, public transportation services, infrastructure and sustainability initiatives.

Notable Responsibilities: :

  • Serve as principal assistant to the Vice President and provide support to the department.
  • Control and maintain the Vice President and APD staff’s calendar of meetings and contact lists.
  • Schedule and coordinate a variety of major committee and other meetings with internal and external participants. Maintain all documentation for these meetings.
  • Assist in the creation and distribution of reports, documents, databases and other department projects.
  • Provide support in the development of graphics for departmental products including presentations, reports, and handouts for projects, meetings, etc.
  • Maintain the Vice President’s filing system as well as the APD library, corporate contracts, and shared files, converting appropriate documents to DocuWare system.
  • Assist Finance Department with accounting-related tasks (e.g., input accounts payable data, scan checks, electronically separate invoices, etc.) weekly.
  • Perform other duties and special projects as assigned.

Required Qualifications: :

  • Bachelor’s degree and minimum one year of office-based administrative work experience. Experience may be in higher education co-op work.
  • Proficiency with computer applications, including Microsoft Word, Excel, PowerPoint, Outlook, and Adobe Suite. Knowledge of Illustrator, Photoshop, and InDesign or willingness to learn web editing software preferred.
  • Excellent verbal and written communication skills.
  • Strong proactive organizational and prioritization skills; ability to proactively research and solve issues.
  • Ability to work on several unrelated tasks at the same time and work under the pressure of tight deadlines while ensuring a strong attention to detail.
  • Must maintain professionalism and confidentiality at all times.
