Under immediate supervision of the Accounting Manager, the Accounting Associate performs a wide variety of functions. The Accounting Associate is responsible for all aspects of accounts payable for assigned affiliates. The Accounting Associate is responsible for following financial and operational objectives which support the mission and strategies of Planned Parenthood of North Central States. Accounting Associates are advocates in implementing our mission “To affirm the right to reproductive and sexual health and freedom for all by providing excellent care, trusted education, and fierce advocacy” They may perform other related duties as assigned.


Essential Functions and Responsibilities

Responsibilities include, but are not limited to:

  • Provide internal controls regarding payment authorizations and other documentation.
  • Review payment authorizations to ensure that invoices are charged to the appropriate entity, fund, cost center, function, and expense line.
  • Update all forms related to accounts payable, annually.
  • Collaborate with Departments to identify and implement process improvements related to the accounts payable process—document management, approval timeliness, etc.
  • Disburse vendor payments weekly via physical checks, EFT/ACH, or credit card
  • Prepare Accounting Department deposits
  • Track monthly recurring expenses (utilities, rent, etc.), research and accrue for missing invoices for month end
  • Prepare other journal entries as needed
  • Support Sr. Staff Accountant reconciliations by providing timely support for activity
  • Prepare annual 1099s for assigned affiliate
  • Coordinate with Accounting Associate to support escheatment reporting
  • Prepare audit schedules as assigned and provide appropriate documentation for annual audits
  • Provide administrative support to Accounting & Finance department
  • All other special projects as assigned by Accounting Manager & Controller.


Standard Requirements

  • Understand and work as a team to meet PPNCS productivity goals. Annual performance monitoring for staff will include an assessment of whether established productivity goals have been met.
  • Supports, cooperates with, and implements specific procedures and programs for: safety and security, confidentiality, quality assurance, compliance with current laws and regulations including HIPAA and mandated reporting, and training.

Work Hours

Full- time position working 40 hours per week.

Tentative schedule: 7am-6pm

This position is eligible for a comprehensive benefits package, including medical, dental, vision, flex accounts, long-term disability, life insurance, PTO, extended illness leave, volunteer time off, paid holidays, and a 403(b) retirement plan.


Physical Work Intensity and Work Environment

Level 1, Sedentary – Physical requirements require sitting at a desk 6-7 hours per day in front of computer terminal. Must be able to use hands for repetitive action on a daily basis. Lifting up to 20 pounds on an occasional basis and use of computer, telephone, calculator, laser printer, modem and fax on a daily basis. The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this job. Required Qualifications

  • Associate degree in Accounting, or a related area, or equivalent work experience
  • 2 – 4 years of related work experience


Desired Qualifications

  • Great Plains Dynamics, or similar Accounts Payable software experience
  • Disbursement experience using different payment platforms
  • Prior work experience in a non-profit or health care industry accounting department
