Our experienced staff of Psychiatrists, Psychologists, Social Workers, Mental Health Specialists, Parent Partners and other therapists/counselors provide case management, mental health care and a range of support services in our outpatient clinics and 24/7 treatment facilities, and in community settings such as schools and homes. JOB SUMMARY: The Intake Specialist will act as first point of contact for visitors entering the facility. The Intake Specialist provides a large variety of data management and clerical tasks related to admissions and discharges for the agency. This position monitors timeliness of documentation, admission/discharge tasks and other time-sensitive activities. Various computerized and non-computerized reports are prepared regularly. This position involves regular interaction with Stars personnel; clients; families; outside agencies and the public. Work is performed under general supervision, but most functions are performed independently. Accuracy and timeliness are essential as they may affect legal and economic liability to the facility.

MINIMUM QUALIFICATIONS

Education

High School Diploma or equivalent required.

Associate of Arts degree or technical/vocational/secretarial school diploma preferred.

Experience

Two (2) years general secretarial experience in a medical or mental health setting required.

Medical records experience preferred.

Experience with billing/coordination systems preferred.

License or Certification

Valid California Driver’s License and clear DMV printout

PHYSICAL REQUIREMENTS

  • Ability to sit most of the working day.
  • Ability to lift up to 25 pounds.
  • Ability to perform Pro-ACT.

DUTIES AND RESPONSIBIL IT IES

Essential Duties

  • Answers and responds to or direct all incoming telephone calls.
  • Greets and welcomes guests.
  • Directs staff and guests to appropriate persons/places as needed.
  • Collaborates with other departments and outside agencies to process client referrals and assist in completing the admission or discharge process.
  • Has responsibility for processing referrals:
  • Enters all referrals in EMR.
  • Verifies insurance coverage
  • Contacts county worker for updated information
  • Has responsibility for admission and discharge processes:
  • Initiates admission and discharge checklists, ensuring that all required forms, consents, legal documentation, etc. are in place, and that all related activities have occurred in a timely manner.
  • Helps to coordinate internal and external activities related to admission and discharge.
  • Inputs and maintains client information in the appropriate county and internal systems.
  • Maintains tracking and data tools for programs across the agency and SBHG.
  • Scans documents into EMR, ensuring accuracy.
  • Interacts with participants, families, referral sources, outside agencies, and staff in a professional, efficient, and quality-focused manner.
