Scheduling Coordinator-LGSH Surgery-Part Time – Lafayette General Health – Lafayette, LA

SUMMARY: Assists in the clerical and image management of the departments. Specialist contributes to the management of patient care data through oral, written and data communication.


DUTIES AND RESPONSIBLITIES

  • Enters charges for supplies into the computer prior to the end of shift.

  • Greets customers/families and provides them with information and image data as requested.

  • Courteously answers the telephone by the third ring, screens calls, and takes accurate messages and transfer call to appropriate area/person. Places calls to physicians as requested by Radiologist, members of management.

  • Assists physicians and their office staff with digital data retrieval. Provides verbal or hardcopy of reports as requested.

  • Releases radiology records/image data in an accurate and timely manner following all policies and procedures of the HIM release of records guidelines.

  • Obtains studies done at other facilities for comparison. Returns studies to facilities once exam has been completed and reported.

  • Handles all subpoenas for patient’s exams. With proper authorization, fees and documented paperwork, exams are placed on cd’s and distributed

    to requesting offices.

  • Participates as a member of the care team to achieve business, goals, quality/clinical outcomes and customer satisfaction.

  • Monitors patients in the reception area to ensure expeditious services are provided, as well as, receiving hospital guest, ascertaining need and directing guests appropriately.

  • Attends mandatory in services as required by LGMC. Attends monthly department meetings when not on duty.

  • Sorts and distributes mail to departments, management and radiologist.

  • Type’s departmental correspondence as directed by management.

  • Ensures waiting area and work areas are kept clean. Reports any concerns regarding this to Radiology Information System Supervisor. Assists in ordering and stocking clerical supplies

  • Helps with the training of new employees.

  • Reports any issues with printers, computers and other equipment in department to supervisor.

  • Documents patient name and arrival time on registration packet and disseminates to appropriate staff and areas.

  • Provides school/work excuses to patients as requested.

  • Prepares work list and reports for Tumor Conference.

  • Distributes copies of on call staff to required areas.

  • Maintains accurate list of physicians requiring films and cd’s to be delivered each day.

  • Informs supervisor of any delays, concerns, and issues.

22. Obtains proper identification and authorization when releasing records to someone other than patient that has been authorized by patient to receive information. Forwards copy of these to HIM to be scanned to patients’ chart.

23. Prints films, including inserting cutline’s and measurement grids on CT, MRI and Ultrasound studies.

24. Places orders in RIS for all unscheduled exams. Ensures that patient information is correct.

25. Checks Transcriptions work list to ensure procedures are reported in a timely manner. Informs appropriate person if an exams is not read in a timely manner.

26. Assists technologist with patients as needed.

27. Calls physicians’ offices for orders if they are not on patients chart.

28. Calls patients the day before their scheduled exams and reminds them of their appointment.

29. Maintains professional dress code, attitude and Standards of Behavior as agreed upon when hired.

30. Performs other duties as directed by supervisor, manager, director of radiology.

31. Accurately enters all patient information necessary to complete patient chart within IMPAC system, making changes as needed and forwarding to appropriate hospital personnel.

32. Enters Bone Density results and information on all Bone Density patients. Makes sure results are available to physicians in a timely manner.

  • The Scheduling Coordinator is responsible for the scheduling of all same day add-on exams in every modality, as well as procedures that need to be added on when there are no spots available within one weeks’ time.

  • Position involves providing timely assistance to schedulers with the development for optimum efficiencies and timely monitoring and handling of unscheduled sessions.

  • Maintain appropriate procedural knowledge to ensure accuracy in scheduling processes.

  • Provide support to and communicate in a timely manner via phone and email.

  • Utilize online worklists to establish a triage system for adding on patients that disrupts currently scheduled exams as little as possible.

  • Maintains notes and files in organized manner.

  • Ensure prompt attention to all new scheduling assignments to schedule quickly.


EDUCATION/TRAINING/EXPERIENCE:

A. High School education or equivalent is required.

B. Computer experience is required.

C. Minimum 2-5 years customer service experience required. Two years in a medical setting is required.

D. Courses in Typing/Keyboarding (45-50 words per minute), Medical

Terminology, Anatomy, and Microsoft Word preferred.
