Clinical Practice Coordinator – Beth Israel Deaconess Medical Center – Boston, MA

Department Description: The Division of Podiatric Surgery at Beth Israel Deaconess Medical Center provides high quality, advanced foot and ankle care in a compassionate environment, both in Boston, and at numerous convenient locations in the community.

Our practice in Boston is a high volume, specialty practice that sees nearly 12,000 patients per year and performs more than 800 specialized surgical procedures for a variety of simple and complex conditions. Our foot surgeons are nationally and internationally known for their expertise in diabetic foot care and reconstructive foot surgery. We also conduct podiatry research to improve patient care and train the next generation of podiatrists.

The Clinical Practice Coordinator is a new position in Podiatry, supporting the very busy Boston practice, which is heavily focused on wound care, but also provides reconstructive foots care, complex diabetic foot care, and sports medicine and trauma care. The CPC will work closely with the RNs and will lead the MA team, working together to support the Boston clinic. The MAs in Podiatry primarily support clinic flow and all aspects of room turn over, while also helping with patient vitals, med reconciliation, and other visit prep supports as allowed within the BIDMC set of MA competencies, and specific to the needs in Podiatry. The Coordinator, as the MA Lead, will both assist supporting the clinic as needed, and ensure the team of MAs are trained and competent in their roles.

The CPC in Podiatry will also help support many of the “landlord” functions for the clinic. Working with the Nursing team, the CPC will manage and oversee equipment, supplies, and expiration dates; working with the Division manager, they will address any facility issues, and report isues needing repair or updating.

The ideal candidate must be eager to work in a busy clinic, and enjoy working in an active role as part of a team. They must be well organized, detail oriented, and reliable. They must be able to multitask, prioritize and deligate, as well as take verbal directions from a nursing team, and surgeons. They must enjoy training staff, and ideally have experience developing a strong MA team.

This is a fast paced clinic; the right candidate will be flexible, and enjoy working quickly, and effectively, all day long. They will also be confident and physically strong, as many of our patients require a lot of support and assistance ambulating. Job Summary: Oversees and facilitates the daily clinical support operations of an outpatient clinical practice with the commitment of providing excellent customer service to patients, families and visitors. Plans and organizes the work of clinical support staff, coordinates and prioritizes work flow, implements appropriate systems and procedures to maintain service standards and acts as a resource to clinicians and staff.

Department Specific Job Responsibilities:

  • Provides hands on support in clinic on a daily basis, as an MA lead, provides support to practice by rooming the patient, preparing patient for medical exam, supporting medication reconciliation process, and collecting height/weight/vitals, as well as managing patient flow. Provides hands on support at front desk, as a Practice Rep Lead, when needed.
  • Sets up patient room with required equipment, and provides support for nurses and podiatrists as needed. With proper training and competency management, may assist the physician in the application of casting, provided physician is in the room performing the application. May perform removal of dressings, bandage changes, and basic wound cleaning/management, including superficial wound cleaning.
  • Orders supplies and equipment for clinic. Coordinates equipment needs and maintenance and ensures that all equipment in the practice is adequately maintained. Arranges maintenance and repairs as necessary with either maintenance department or with vendors where there are prearranged service contracts. Recommends clinic space improvements to Manager and Director.
  • Acts as a liaison between physicians, staff and the practice, nurse or administrative managers. Provides information and responds to inquiries. Resolves immediate problems within the department or unit. Reports on-going problems to the manager. May work with nursing, fiscal, administrative management and human resources as appropriate.
  • Identifies training needs in clinic, involving patient care activities and assists with training of support staff to ensure staff proficiency. Coordinates regular skills development sessions for support staff. Ensures that staff’s training needs are met, and competencies are maintained.

Essential Responsibilities:

  • Plans and oversees work assignments and schedules for the clinical support areas to meet daily operational needs. Monitors procedures to ensure efficient processing of work including time of service, charge entry, supply management, etc.
  • Oversees orientation, training and ongoing competency program for practice assistants and medical assistants.
  • Contributes to recommendations and decisions related to patient care issues and general practice issues. Makes recommendations on how resources can be used differently and/or more effectively.
  • Communicates with providers and other health care team members to ensure the continuity of care and the coordination of services. Assists in the process of implementing new services.
  • Implements and oversees quality assurance processes and systems in collaboration with the manager.
    Works closely with management and staff from other clinical areas to ensure clear lines of communication around regulatory compliance issues. Ensures compliance training and support in preparation for regulatory compliance reviews, i.e. Joint Commission, CMS and others.
  • Provides ongoing feedback to manager regarding training needs, staff performance and process improvement . Provides feedback to manager in the performance review process for staff.

Required Qualifications:

  • High School diploma or GED required.
  • 3-5 years related work experience required.
  • Medical assisting experience required through any of the following areas: MA, CNA (or LNA), EMT, PCT certificate, Associates Degree in Medical Assisting. Current or former nursing or medical student who has completed at least one clinical rotation. Successful completion of BIDMC in-house competency program in 2019. Successful completion of Basic Clinical Skills course at Northeastern University.
  • Experience with computer systems required, including web based applications and some Microsoft Office applications which may include Outlook, Word, Excel, PowerPoint or Access.

Preferred Qualifications:

  • Phlebotomy Certificate preferred.
