The University of Texas, Dell Medical School (DMS), is a Health Research Institute (HRI) for the Texas Children’s Mental Health Care Consortium. The program and projects of the HRI work to address the clinical needs of the programs which address urgent mental health challenges and improve the mental health care system in Texas for children and adolescents.

This is a grant funded position with an end date of 11/30/2023, renewable based upon availability of funding and work performance. Must be willing and available for eight hours of work per day between 7:00AM-6:00PM with occasional after-hours events. This position will be assigned on-campus with an expectation to work on-site for some of the scheduled work week. Remote work will require reliable internet access and a suitable workspace free from distractions. A flexible working arrangement agreement will be required upon offer.

Purpose

This position will assist with the administration of assigned projects related to the Texas Child Health Access Through Telemedicine (TCHATT), Youth Aware of Mental Health (YAM) initiative, an evidence and school-based program for adolescents, in which they learn about and explore the topic of mental health through active learning, role-play, and student-led discussions. This position will provide administrative and logistical support for the Texas Child Health Access Through Telemedicine (TCHATT) and American Rescue Plan Act (ARPA) programs/initiatives and works within a team to organize and implement child and adolescent mental health educational activities with Independent School Districts (ISDs), communities, and providers across our region. Educational activities are delivered in virtual, face-to-face, and hybrid environments. Conducts integrated training needs assessments and monitors and reports the effectiveness of training. Delivers evidence-based YAM curriculum to junior high and high school students (training provided).

Responsibilities

Travel to ISDs in our regions to assist Mental Health Educators(s) in the delivery of mental health promotion program (YAM) with diverse groups of junior high and high school students. Work with ISD counselors and teachers to ensure student safety and program fidelity. Maintain and update professional knowledge and proficiency through continuing education, staff meetings, workshops and serving on special committees. Prepare and organize training materials and curriculum. Support lead facilitator in providing mental health curriculum.

Coordinate educational activities, including scheduling, logistics, and follow-up communication with internal and external participants and venues. Prepare and organize training materials and curriculum.

Maintain timely and accurate Helper Notes related to YAM program delivery. Develop and update monthly productivity reports. Prepare and maintain program records. Evaluate the success of the learning experiences through soliciting feedback/assessment. Prepare and maintain program records.

Draft, edit, and prepare correspondence, reports and other material using word processing, spreadsheets and/or databases. Process, route, and respond to inquiries from schools, team members, and the public. Maintain accurate and professional correspondence logs, files, information, databases and other tracking systems as necessary. Ensure professional and accurate documentation. Collaborate and communicate with professionals in a variety of settings such as DMS faculty, school, YAM colleagues, students and others through face-to-face, email, phone or mail contact. Participate in team meetings, trainings, and activities designed to drive continuous improvement.

As needed, provides phone and virtual technical assistance related to tele-health scheduling and programs to Dell Medical staff, partners, school district personnel, patients, and patient families. Troubleshoot technical issues, escalating to DMS or school district information technology departments as needed.

Required Qualifications

High school graduation or GED. Three years of clerical experience, including one year of experience at the Senior Office Assistant level. One year of full-time equivalent applicable experience may be substituted for each thirty semester hours of college credit earned, or vice versa; however, a minimum of one year of applicable experience is required. Effective communicator with excellent oral, written, and interpersonal communication skills. Ability to manage multiple tasks simultaneously with attention to detail, prioritizing assignments to meet deadlines. Outstanding organizational and time-management skills. Professional demeanor with tact and respect at all times. Ability to address individuals and information with a high degree of sensitivity and confidentiality in various delicate, formal or urgent situations. Basic proficiency with Microsoft Office programs: Excel, PowerPoint, Word, Outlook, Visio, etc. Ability to work independently with minimal direction. Preferred Qualifications

More than three years of experience providing administrative support. Start-up experience in any sector. High level of proficiency with at least one video conferencing platform, e.g., Zoom. Experience working in health care or education industry. Basic proficiency with Microsoft Office programs: Excel, PowerPoint, Word, Outlook, Visio, etc. Experience with scheduling.

Salary Range

$31,200 + depending on qualifications

Working Conditions

Other working conditions: Educational activities are delivered in virtual, face-to-face, and hybrid environments. Employee is also expect to be able to work remotely in a private, safe space. Employee is expected to attend and conduct training at various locations on and off-site, attend meetings to discuss success and obstacles of different projects, and pass additional background screening, including FBI fingerprinting, for our school and community partnerships.
