Front Office Manager – Marietta Dermatology Associates, PA – Marietta, GA

General Nature of Work

This position requires direct patient communication, multi-tasking, and problem solving. The front desk works closely with Medical Assistants and other staff. The position provides clinical and insurance knowledge to ensure that all patients receive high quality, efficient care. The Front Office Manager exhibits initiative, excellent interaction with patients, supportive with co-workers and displays team cohesiveness. The Front Office Manager is also responsible for directing, supervising, and coordinating all staff and activities at the main Marietta location, but also provide support to the satellite offices to provide quality, cost-effective care.

JOB RESPONSIBILITIES

· Supervise administrative staff and all day-to-day office functions, including front desk, insurance processing, appointment setting, procedure scheduling and medical records

· Maintain a smooth, efficient flow of administrative operations, ensuring that patients are served as efficiently and effectively as possible.

· Responsible for managing call schedules

· Opening schedules in EMR/PM system

· Ensure that patient inquiries and complaints are handled in an appropriate, timely and satisfactory manner.

· Handle office supply and office equipment maintenance, as well as vendor sourcing lease negotiations and purchase decisions.

· Purchase other items and services as needed for smooth medical practice operation.

· Ensure compliance with personnel licensing and continuing education requirements for clinical personnel.

· Work with HR to recruit, screen, and hire and train administrative employees.

· Provide training, coaching, mentoring and performance appraisal for administrative personnel.

  • Ensures provisions of safe, high-quality patient care by the staff.
  • Evaluates performance and works with HR to recommend merit increases, promotions, and disciplinary actions.
  • Ensures that office space, supplies, equipment, and assistance are provided and maintained appropriately for medical staff and patient care.
  • Ensures that all business functions are running smoothly, and all processes are effectively and efficiently in place.
  • Reviews processes and makes recommendations for improvement.
  • Develops goals for satellite operations and ensures that these goals align with organization goals.
  • Operates within the context of an established budget.

· Keep current with changes in privacy laws, HIPAA requirements and other relevant laws and regulations as related to medical office operation.

· Maintain positive relations with insurance providers and referring healthcare providers.

· Other duties as assigned or necessary based on business needs.

KNOWLEDGE, SKILLS, and ABILITIES

KNOWLEDGE

· Knowledge and understanding of payer medical policy guidelines while utilizing these guidelines to manage authorizations effectively

· Knowledge of clinical practices and procedures

· Knowledge of Microsoft office including but not limited to Excel, Word, PowerPoint etc…

· Thorough knowledge of provider schedules and the policies for scheduling appointments.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in health or business administration preferred. Master’s degree in health care, business administration, or related field is a plus.
  • Previous experience in a healthcare preferred
  • Previous experience managing a team is highly desired
  • Experience with EMA/Modernizing Medicine is a plus
  • 3-5 years front office experience within healthcare preferably in a position that regularly schedules appointments.

Physical Requirements: Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.

Work Environment: Essential functions are regularly performed without exposure to adverse environmental conditions.

Job Type: Full-time

Pay: From $45,000.00 per year
