Job Summary:
Supports department(s) with various administrative tasks including but not limited to reception, phone support, scheduling, maintaining records, and monitoring inventory/supplies. Additional responsibilities may include supporting leaders with Kronos, Epic scheduling, budget tracking, reporting, billing, and data entry. Duties may vary by assigned area.


1: Provides exceptional customer service to visitors and guests at all times. Delivers professional phone support regarding general inquiries and troubleshoots issues for an area.

2: Responsible for the scheduling of conference rooms, interviews, team meetings, notifications and may assist with patient/area scheduling.

3: Maintains area supplies at the appropriate inventory levels; anticipating future needs; placing orders; and verifying receipt of supplies.

4: Use of standard office equipment; including troubleshooting equipment issues and scheduling repairs as needed. Operates standard photocopying equipment, collates and assembles documents for distribution.

5: Maintains confidentiality with both physical and electronic records for an area.

6: Maintains competency that includes but is not necessarily limited to the use of Microsoft Word, PowerPoint, and Excel and all other computer applications needed to perform required activities. Gathers information for leaders by preparing reports, tables and spreadsheets. May assist with billing and budget tracking for an area.

7: Utilizes the automated timekeeping system to monitor tardiness and track absence occurrences. Reports timekeeping issues and may complete timecard edits in a timely manner for leader approval.

8: Coordinates various aspects of the department or office area such as: sort/deliver mail and email correspondence.

9: Other duties as assigned.

1 year of secretarial or 3 years of clerical experience. High School Diploma / GED.

Other information:
Ability to use discretion with handling sensitive information. Competence in the use and knowledge of Microsoft Office products.
