Summary Job Description:

This job description is for a brand new clinic opening in May/June 2022. 1-2 weeks of work per year may occur at our flagship location in Nashville.

A successful Practice Manager will perfect the aesthetic patient’s end to end experience from the first phone call to checkout, adding luxury touches throughout. The manager at SLK is a jack of all trades, willing to do a little bit of everything from driving to pick up supplies, to troubleshooting the internet. They will also serve as executive assistant to the owner(s), assisting with her daily tasks and managing her schedule when they are in town.

The ideal candidate will be able to start up, open, and run a new medical practice independently with little direction or check-ins. They will require minimal training or supervision. A passion for hospitality and catering to a well heeled clientele is a must. They are tech savvy, flexible, and can lead and motivate a team.

Job duties include:

  • Maintaining a strong presence in the clinic. Preferably lives close to the clinic in case of emergencies.
  • Uphold SLK values and enforce policies and procedures.
  • Budget, manage expenses, monitor profit lines. Trim expenses when needed.
  • Have close working relationship with senior management. Engage in daily phone meetings.
  • Manage compliance and HR duties. Implement the employee handbook.
  • Ensure patients feel well taken care of.
  • Manage the reception desk.
  • Assist our esteemed clinicians throughout their day as they work through a busy patient schedule.
  • Ensure everything and everyone in the office is organized.
  • Manage and mentor new Patient Experience Coordinators
  • Manage COVID employee absences.
  • Greet patients. Prep patients for appointments
  • Answer phones and emails promptly
  • Run reports on employee compliance
  • Arrange and schedule clinical training days. Book volunteers for training.
  • Create employee schedules
  • Translating verbal and written materials (if multilingual)
  • Coordinate employee vacations
  • Fill in for absent or sick employees
  • Be in charge of the clinic schedule. Book nurses schedules
  • Call patients. Handle up to 100 calls per day.
  • Answer phones and deliver messages.
  • Manage accounting and inventory. Place orders. Find lost inventory.
  • Run transactions with speed and accuracy.
  • Take charge and troubleshoot any unexpected issues that arise in the clinic- equipment repairs, office repairs.
  • Maintain a relaxing spa-like atmosphere.
  • Achieve an impeccable, spotless facility. Coordinate housekeepers, annual deep cleans, other cleaners, Task Rabbits, repairmen, plumbers, etc as needed.
  • Maintain strictest confidentiality possible; adhere to all HIPAA (Federal patient privacy laws) guidelines/regulations. Protect identities and health information of patients at all costs. Scan confidential documents.
  • Assist with accounting (Quickbooks).
  • Help coordinate company events and/or promotional events. Pick up supplies or food for events.
  • Decorate and take down decorations for holidays
  • Willing to get hands dirty. Helps with minor repairs such as laser repairs, light bulb replacements, or re-planting plants.
  • Drive to run errands – pick up fresh flowers, visit the ATM daily, do FedEx and UPS drop offs.
  • Tech savvy. Can perform tech tasks such as setting up new iPads or installing softwares on Windows.
  • Eager to help. Helps the owner with personal tasks when requested.
  • Anticipate any obstacles in the workflow/office and stop problems before they start!

Knowledge, Skills and Abilities:

  • Ability to learn quickly and think on your feet.
  • Confident, assertive and can direct a team.

  • Experience with luxury brands preferred
  • Firm and persuasive with clients who are late or have complaints.
  • Passion/Knowledge for design, fashion, art, or beauty.
  • Passion/Knowledge for self-care, wellness, skincare or dermatology.
  • 1 year (2000 hours) administrative or concierge experience
  • 1 year customer service experience
  • 1 year appointment booking experience
  • 1 year people manager experience or equivalent
  • Team player

Compensation:

Competitive base rate based on capacity to meet or exceed the job description.

Base pay with annual raises/bonuses (subject to clinic/job performance).
