Position Summary/Purpose of Position:

The Program Management Specialist and Assistant to the Executive Director carries out the day-to-day functions of the front of the office of the Honors College, including answering phones and emails, managing and ordering inventory, maintaining office equipment, maintaining databases and other essential documents, and hiring, training and supervising part-time student workers. This position also provides administrative assistance to the Executive Director, which includes managing their calendar, arranging meetings and travel, and gathering and preparing materials for meetings. This position reports directly to an Associate Director in the Honors College with a dotted line to the Executive Director.

Minimum Qualifications:

Bachelors degree AND Two years experience in administrative staff work. Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Preferences:

  • In-depth understanding of the entire Microsoft Office Suite as well as Google calendar
  • A proactive approach to problem solving and organization
  • Professional level verbal and written communication skills
  • Experience in administrative support work on the College Park campus
  • Experience in troubleshooting for office computers, printers, copiers and projectors
  • Knowledge of Qualtrics Survey Software
  • Drive and initiative

This is a highly collaborative position requiring outstanding interpersonal skills, the ability to handle sensitive material with discretion, the ability to manage competing obligations, the ability to work independently, and the ability to work effectively with different constituencies on and off-campus.

Physical Demands

This position requires traveling around campus to meetings and events. Must be able to carry materials (e.g., floor banners, flyers, food, meeting supplies, etc.) and be able to participate in set-up and take-down of events. Some weekend and evening work is required.
