Salary: $4,371 – $10,792/Monthly

Work Schedule: Full-Time, Monday to Friday, 8.00 a.m. to 5.00 p.m.; exempt classification. Temporary one-year appointment from the date of hire; may be extended; may become permanent.

Essential Functions: Under the general direction of the Senior Associate Director of Enrollment Management Technology, Project Management and Operations, the Document and Systems Coordinator provides assistance with project management, strategic direction, analysis, technical support and consultation to the managers and staff across the university that utilize the Hyland OnBase Document Management System, DocuSign, and other applicable systems. The incumbent will: assist with coordinating efforts within Enrollment Services areas to continue its move to electronic processes; creates, develops, and implements enhancements to workflow enabled forms, scanning, interfaces, and users; provide day to day application administration, troubleshooting, and training, which includes training student technician workers in various capacities; develop Systems and Imaging Data Processing Units; perform quarterly audit reviews for Enrollment Services Systems and develop methods for automation; work with the Applications Development team in Information Technology to assist in development and support for a wide variety of projects that will utilize workflow enabled form applications; analyze systems changes to scripts and logic; provide data assurance for Enrollment Services; develop, maintain, and update technical procedures and end-user guides; project tracking, purchasing, planning, and expense records for management meetings; provide assistance of technical support to improve business functions for specific campus areas; monitors application and system health, performance, and capacity; and creates and maintains procedures and other documentation related to OnBase.

The incumbent will be working with personal computers and laptops with Windows; Microsoft Office Professional Software; computer peripherals including commercial scanners, video projectors, security cameras, and accessibility-related devices; personal and network printers; LAN/Desktop systems; video production and captioning tools; and miscellaneous utility systems.

Required Qualifications & Experience: A bachelor’s degree in computer science, information systems, educational technology, communications, or related fields, or similar certified coursework in applicable fields of study and three years of progressively responsible administering OnBase and developing workflow enabled forms. The incumbent will have: thorough knowledge of programming, testing methods, and techniques for software applications, using SQL, HTML, HTML Forms, Java Script, and OnBase; knowledge of specific industry standard applications programming language and systems analysis techniques and generally accepted documentation methods; thorough knowledge of PC/MAC based web browsers and related tools; and knowledge of general analytical methods, techniques, and troubleshooting, as well as specific detailed knowledge and experience with various OnBase and other system functions. The Document and Systems Management Consultant will have the ability and specialized skills to: propose effective solutions; understand functional and procedural requirements; analyze problems and propose effective solutions; understand functional and procedural requirements and develop alternative solutions; relate solutions to management, technical staff, and users; communicate effectively both orally and in writing; establish and maintain effective working relationships with others; make presentations; conduct meetings; provide user training; and prepare programming and user documentation. Good communication skills are needed for meetings and other discussions with end users to gather and synthesize requirements. Must be proficient in MS Office 365, including Word, Excel, Access, Project, Visio, and Outlook OWA, and possess experience in Microsoft Active Directory administration; have demonstrated ability to plan, organize, and conduct projects to systems infrastructure, as well as general product environment upgrades; and produce clear and effective documentation in support of product management document hardware and software standards to apply those standards when dealing directly with vendors in order to execute and properly implement changes that will impact the campus community.

Desired Qualifications: Experience in project implementation and project management highly preferred.
