Call Scheduler – Women’s Healthcare Associates, LLC – Portland, OR

Under the direction of the Patient Services Supervisor/Practice Manager/Call Group, the Call Scheduler coordinates clinician office, call and time-off schedules through the call scheduler and practice management software.

*This is a 20 hr/wk position, Monday-Friday, with some evenings and weekends required. This position supports our Oregon City clinic.*


DUTIES

  • Maintains and updates schedules in call scheduler and practice management software.

  • Coordinates clinician call scheduler requests, in accordance with appropriate policies and procedures. Communicates with clinicians and Patient Services Supervisor/Practice Manager to ensure proper coverage in the clinic. Escalates requests that fall outside of established guidelines to Patient Services Supervisor/Practice Manager and/or Managing Partner as appropriate.

  • Refers clinician questions regarding time off balances and absences that may be related to medical issues to Human Resources. Works with administration to ensure compliance with appropriate policies and procedures related to PTO, holidays, leave of absences, etc.

  • Partners with Payroll department to create and distribute end of month PTO reports to clinicians and administration.

  • Creates, builds, updates, maintains and applies all job (on-call, surgery templates, meetings, etc.) templates in practice management software. Ensures templates are opened and updated in a timely manner.

  • Communicates call schedule changes to answering services, hospitals and other parties as needed.

  • Runs various reports within call scheduler.

  • Takes responsibility for and demonstrates safe work practices.

  • Maintains regular and predictable attendance.

  • Maintains WHA confidentiality standards.

  • Follows telecommuting guidelines as outlined in the remote work agreement.

  • Attends WHA and clinic meetings as needed.

  • Models The Values Statement and The Patient Experience of WHA.


QUALIFICATIONS

  • High school diploma or GED required.

  • Customer service experience required, medical office experience preferred.

  • Must be able to telecommute and agree to the terms of a telecommuting agreement

  • Proven effective verbal, listening and written communication skills required.

  • Knowledge of or the ability to learn practice management software and call scheduler software.

  • Knowledge of keyboarding, data entry and basic computer skills, including proficiency using Microsoft Office products (Word, Outlook, Excel).

  • Ability to perform keyboarding motions.

  • Ability to speak and hear clearly in person and when using the telephone.

  • Ability to communicate well verbally.

  • Ability to read and understand written materials.

  • Must be able to pass a drug screen and background check.

  • Ability to demonstrate The Values Statement and The Patient Experience of WHA.

  • Ability to perform the essential functions of the job.
