The Executive Assistant II is a professional level administrative assistant to the DFPM Chairman and Human Resources support for DFPM.

Responsibilities:
- Coordinates departmental executive level activities includes planning special events.
- Arranges travel and maintains multiple faculty schedules in the department.
- Assists with the preparation of annual faculty review documentation at the direction of the chair.
- Key administrative support member of the DFPM Executive Committee.
- Carries out planning duties for annual departmental retreat activities, including mobilization of AA support to assist in the retreat.
- Support activities in DFPM faculty performance measurement, preparing reports for the Dean, Chancellor, DFPM Executive Committee and Hospital administration, participate in quality improvement projects and related.
- Administrative staff member in charge of internal and external communication.
- Prepares the annual department/division reports.
- Assists departmental support staff for fund raising campaign. In this regard, writes script, prepares documents, and arranges events for fund raising.
- Interact directly with a broad range of faculty, managers and staff and will represent DFPM to the campus and to outside organizations as appropriate.
- Coordinates faculty recruiting efforts, responsible for faculty credentialing and maintenance of current credentialing records of full-time, part-time and volunteer faculty.
- Processes procurement, reimbursements, travel, and other faculty requests.
- Performs related responsibilities as required or assigned.
Qualifications:
Bachelor’s degree plus three (3) years of administrative support experience OR High School Diploma/GED plus seven (7) years of administrative support experience required.
Knowledge, Skills & Abilities:
- Advanced knowledge of Word and Excel, desktop publishing software, PowerPoint, charts, graphs, and other methods as required.
- High level of accuracy in work is required.
- Ability to manage multiple projects essential.
- Must exhibit above average skill level in ability to edit work for spelling and grammar. Good listening and comprehension skills essential.
- Ability to multi-task required.
