ENT Surgery Scheduler/Health Information Assistant/MA – Arizona Breathe Free Sinus & Allergy Centers – Scottsdale, AZ

Scottsdale Sinus & Allergy Center is growing and adding physicians, midlevel providers and supporting clinical staff. Further, we plan on continuing to expand in 2021 which mean there will be lots of opportunity for growth and advancement!

Role and Responsibilities

Role:

The Surgery Scheduler/Health Information Assistant (HIA) will manage the Consultation Center under the direct supervision of the COO.

The Health Information Assistant will work closely with the Medical Director(s) and Physician Assistant to ensure the necessary patient health information is accurately documented in the electronic medical record (EMR) system in a timely fashion.

Although not normally the first point of contact for patients, the HIA represents the face of Scottsdale Sinus & Allergy Centers. Based on this, the HIA will exude professionalism, maturity and respect. The HIA will provide the highest level of customer service with a friendly, positive attitude.

The Health Information Assistant will work closely with other Centers to ensure the patient journey from one Center to the next is smooth and seamless. The Centers include:

· Patient Coordination

· Consultation

· Sinus

· Allergy

· Imaging

· Billing Center

· Surgery/Procedure

The Health Information Assistant will work with colleague HIA(s) to identify new/better policies/procedures for the Consultation Center, present a plan-of-action to the COO and implement approved changes. In addition, any changes will be communicated to the entire organization, where applicable, through:

· E-mail communication

· Staff meetings

Responsibilities:

Obtaining Vitals

· Obtain vital information specific to disease state.

· Enter vital information into the electronic medical record before medical provider joins exam.

Establishing Complete and Accurate Medical Records (Before, During and After Consultation)

– Ensure intake information has been updated in the EMR

– Referring physician and/or Primary Care Physician

– Insurance information

– Address

– Contact numbers (home and/or cell – best way to reach the patient)

– Update and include pertinent past/current diagnostic tests/images/reports in the EMR

– This may require a request of information from laboratories, imaging center, and physician offices

· Update and include previous diagnosed medical conditions in the EMR

· Update and include current medications in the EMR

· Update and include current medical condition complaints in the EMR

· Update and include current treatment plan in the EMR

Post-Consultation Communication – Under the direction of the Medical Director(s) and/or Physician Assistant

· Inform patients of laboratory, imaging and/or test results along with the MD/PA’s plan of action

· Inform patients of needed laboratory, imaging and/or test results along with specific instructions

· Document all communication in the EMR

Post-Consultation Referral – Under the direction of the Medical Director(s) and/or Physician Assistant

· Coordinate referral/on-going care with multi-specialists and patients

· Complete necessary paperwork for referral

· Inform patients with the necessary referral details

· Document all communication in the EMR

Cleaning/Sterilization

· Instruments

· Per manufacturer guidelines, ensure instruments are cleaned/sterilized and ready for utilization

· Exam rooms

· Ensure rooms are properly cleaned/sterilized daily

· Conduct an extensive clean/sterilization weekly

Supplies

· Under the direction of the Practice Administrator, order necessary supplies for the Consultation Center

· Ensure Consultation Center is sufficiently stocked with necessary supplies

Qualifications and Education Requirements

· Experience working in a medical office

· Advanced training in electronic medical records preferred, but not required

Experience:

  • Medical Office Experience: 1 year (Preferred)
