Job Title: Accounts Payable Associate (CMD)
FLSA Status: Non-exempt (Hourly),
Hours: Full Time (30+ hours per week)
Vesta Property Services provides property management and related services to developers of planned unit communities and residential associations. Headquartered in Jacksonville, Florida, Vesta offices are strategically located throughout the Sunshine State. Vesta employs over 1,200 trained and educated professionals providing a wide spectrum of services to residents of more than 250,000 residents in over 500 communities.
The AP Associate is responsible for providing financial, administrative and clerical services. This includes the processing and monitoring payments and expenditures. Providing these services in an efficient and accurate manner so that vendors and suppliers are paid within time limits.
RESPONSIBILITIES AND DUTIES
- Enter all invoices according to associations budgets
- Utilize the Strong Room process accordance with policies and procedures for each client
- Coordinate check schedule with board members and property managers
- Maintain and order check supplies
- Maintain vendor W9’s and appropriate certificates of insurancfe
- Handle phone calls regarding vendor histories
- Maintain association insurance spreadsheet
- Estoppel processing
- Assume additional related responsibilities as required

2 to 5 years
- Ability to meet deadlines, and multitask in a fast paced environment
- Excellent oral and written communication skills
- Proficient in Microsoft Office
- Property management accounting software experience a plus
Bachelor’s degree in business administration, accounting, finance or minimum two years of accounting/accounts payable experience
This is a largely sedentary role; however, some filing is required, which would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
No travel is expected for this position, outside of meeting with our attorney in town.
