Medical / Dental Office Business Assistant – Koala Center For Sleep & TMJ Disorders – Wausau, WI

Koala Center For Sleep & TMJ Disorders offers a dental solution for Obstructive Sleep Apnea and TMJ Disorders using Oral Appliance Therapy. We provide a non-surgical, non-pharmacological alternative to CPAP and Surgery. We offer treatment in a medical model and bill medical insurance on behalf of our patients.

Exciting career opportunity for a highly organized, high energy and patient-centric individual in our dental sleep medicine practice located in the Wausau, WI, area. This role is highly important as you will likely be our new patient’s first impression when you answer their calls and greet them at the front desk. Excellent phone and communication skills are required. You would be responsible to collect patient co-pays, post transactions and balance daily deposits. Duties may also include uploading documents to our cloud based practice management and electronic health records software, as well as preparation and presentation of recommended treatment plans.

Key Responsibility Areas (KRAs):

  • Ensures that all patients receive the services that they need.
  • Ensures that the patient is able to get to treatment as quickly as possible.
  • Ensures that all patient communication is well documented.
  • Communicates well with the dentist and the team.
  • Ensures that all patients have firm financial arrangements in order that the office is paid for the services provided.

Daily Tasks and Responsibilities:

  • Greet each patient call and office arrival with the utmost professionalism and warmest welcome
  • Obtain accurate insurance and referral information from patients by phone before their exam
  • Ask appropriate questions in order to prepare for the patient’s exam with the provider
  • Instruct the patient on how to prepare for their exam as needed
  • Communicate effectively with and take direction well from the Practice Manager and Central Billing Office to prepare for all patient exams and provide exceptional patient care
  • Own the schedule and manage patient contact as needed to maintain an effective patient schedule flow
  • Document all records obtained for patient care
  • Work well with processionals from referring provider offices in order to provide a continuity of care for all patients
  • Check patients in and out of the office
  • Collect patient deposits due at the time of service
  • Help ensure all patient paperwork is complete and documented efficiently and accurately
  • Help to present patient treatment plans
  • Help secure financing for patients when interested
  • Follow up on any questions for patients or insurance
  • Take every action possible to serve the patient while they are in our office
  • Make sure that any patients who did not keep their appointment are rescheduled
  • Review Pre-Authorizations when returned from insurance and help make sure that treatment estimates are in agreement
  • Work well with all staff and providers
  • Back up the clinical assistants with tasks as trained when needed
  • Assist with taking patient vitals
  • Assist with EHR charting and data entry
  • Assist with oral and airway evaluations when needed
  • Assist with appliance delivery when needed
  • Help send patient progress letters to referring providers
  • Help maintain and monitor office inventory
  • Prepare reports for provider and patient review as needed
  • Assist with seminars as scheduled, follow up calls/ letters, etc.
  • Be respectful of policies and procedures- does not make decisions without consulting manager

  • Be able to stand in for the new patient consultation and exam if needed

Dental, Medical or Sleep experience preferred.

Job Type: Full-time

Pay: $16.00 – $19.00 per hour
