The North Lawndale Employment Network (NLEN) is a comprehensive workforce development agency on Chicago’s West Side dedicated to advancing the economic outcomes of North Lawndale residents through innovative job readiness and financial literacy programming and the operation of social enterprises.

The Opportunity
The Executive Associate provides high-level administrative support to the President/CEO by conducting research, providing project management of internal projects, provide support to board of directors.

Responsibilities include (not limited to):

  • In absence of President/CEO, use initiative and judgment to see that matters requiring attention are referred to delegated authority or handled in a manner so as to minimize effect of President/CEO’s absence
  • Manages the President/CEO’s schedule and calendar including details documented for each appointment
  • Provide the President/CEO with background information and supporting materials in preparation for meetings, speaking engagements, conferences, galas, etc.
  • Full meeting planning, including all meeting arrangements, attendee support, materials and equipment setup, and calendar scheduling with priority to NLEN Board of Director’s meeting held quarterly
  • Ensures details for travel are documented on President’s calendar and all supporting travel materials are completed including itinerary, tickets, passports, weather reports, descriptions of airports, rental car pick up or taxi information, hotel destinations, and room locations
  • Assist the Director of Development with the coordination of the NLEN’s annual signature fundraising event
  • Management of administrative functions including organizing and processing invoices to Accounting; and tracking and processing of contracts and agreements
  • Assists the President & CEO with the preparation of Board and Committee agendas for board meetings; coordinates with senior management relative to agenda items supporting documentation; and monitors the timely preparation and completion of Board Meeting packets and the setup of meetings
  • Reserve conference room/location for board meetings
  • Attend all Board of Directors’ quarterly meetings; tracks action items at meetings on behalf of the President &
  • CEO and serve as a backup to Board Secretary for taking minutes
  • Coordinate all logistics related to the Board’s Annual Retreat to include: venue, reservations, meal and activities
  • Maintaining and monitoring project plans and schedules
  • Assist the Director of Development with the coordination of the NLEN’s annual signature fundraising event to include: Managing logistics, updating/tracking invitation lists, preparing and mailing correspondence related to the event, ordering materials, and creating presentations for day of event

Ideally you have…

  • Bachelor’s Degree in a related field from a 4-year university or 5+ years’ previous experience working the profession as an Executive Associate, Coordinator or Assistant with direct responsibilities
  • Professional Project Management certification or preferred
  • Excellent written and verbal communication skills, strong presentation and facilitation skills with ability to speak before groups of clients, employees and the Board
  • Coaching, leadership, and relationship building skills
  • Excellent organizational skills with ability to multi-task and manage competing priorities.
  • Strong working knowledge of MS Office Suite, Outlook, and ability to learn and maintain databases
