Position Summary

Reporting to the Controller, the Accounting Specialist is responsible for Accounts Payable, as well as payroll and benefits administration.

This position will also focus on process improvement in the accounts payable operations and systems by auditing data, identifying payment issues, errors, providing assistance to inquiries, and as an escalation for processing.

This position is responsible for reviewing invoice issues and identifying root causes, and bridging knowledge gaps associated with invoices and payment issues by facilitating report development, monitoring metrics, and collaborating with and providing guidance to internal teams to improve processing in AP workflow.

This position will also will ensure accurate processing and recording of SFPA employee data including semi-monthly payroll, benefits (health, 401k, FSA, etc.), and personal information. This position provides administration of key systems such as HRIS, various Benefits Administration and Payroll related software and will provide exceptional service to other staff while maintaining scrupulous compliance with SFPA policies and employment and payroll laws.

This is a full-time (40 hours/week) position.

At this time, SFPA is operating mostly remotely with essential functions performed at the office. This position will be expected to work in person at the office as needed, as well as remotely. SFPA fully supports remote work by providing employees with a laptop, cloud-based systems, and frequent team connection. For in-person office work, SFPA provides robust safety protocols, including mandatory mask-wearing, social distancing, and frequent sanitation.


Accounts Payable (AP)

  • Drive AP function end to end.
  • Serve as the main contact for resolving AP related billing disputes
  • Review all invoices for appropriate documentation and approval prior to payment.
  • Work with Staff Accountant, program staff to determine coding of invoices and inquiries.
  • Perform biweekly check run following accounts payable processing schedule. Processing payments for all requests, vendor invoices, and employee expense reports.
  • Reconcile vendor statements and maintain strong vendor relationships: resolve incorrect payment allocations and other account disputes to ensure ongoing purchase ability.
  • Set-up and maintain ACH information for payees.
  • Produce reports for month-end processing to ensure accurate accounting of all outstanding invoices.
  • General ledger account reconciliations.
  • Create and maintain vendor files, and obtain W-9 for all new vendors.
  • Prepare 1099’s at year-end for all eligible vendors, contractors, and suppliers. File 1096.
  • Assist with all audit inquiries, copies, etc.
  • Assist with expense accruals calculations.
  • Prepare monthly accounts payable Aging and Accounts Payable Closing Schedule.
  • Develop, implement and maintain systems, procedures and policies, including accounts payable functions to ensure adherence to company guidelines.
  • Prepare any necessary month-end accruals.
  • Determine the best methods to promote, implement and maintain paperless AP filing system
  • Perform additional duties as may be assigned.


Payroll

  • Payroll: preparation and distribution, including verifying time sheets comply with law and applicable SFPA policies; general ledger reconciliations of payroll-related accounts.
  • Maintain HR database including adding, changing status, terminating employees.
  • Benefit administration (medical, dental, vision, various insurance programs) including enrollment, status changes, termination; billing reconciliation; general ledger account reconciliations, HCSO calculation, reporting and prepayment submission.
  • 401(k) administration, including enrollment, contribution changes, termination; prepare and send semi-monthly 401(k) contributions/matches; work with providers on annual census and audits, 5500 as assigned.
  • Provide requested reports to HR Manager as needed; assistance with required leave notifications and tracking in compliance with applicable law and policy.
  • File HR related required documentation; manage documentation retention in accordance with applicable law and policy.
  • Annual preparation and distribution of W-2s.
  • Garnishment orders: notify employee, make deductions & send funds to appropriate agency.
  • Other duties including responding to information requests on unemployment and disability claims and verifications of income and employment and other as assigned falling within the purview of the Controller and Director of Finance and Administration.


Qualifications

  • Project management experience desirable, ability to independently drive and facilitate special projects with limited supervision.
  • Outstanding accounting and spreadsheet software skills required.
  • Experience with Sage Intacct, Bill.com, expense reimbursement system and HRIS preferred.
  • Demonstrated ability to organize, plan and carry out activities with minimum supervision to meet specific timelines with proven record of accuracy in completing and reviewing data.
  • Ability to work and interact constructively with individuals (staff, Fiscal Partners and volunteers) from a variety of socioeconomic backgrounds in a culturally diverse work environment.
  • Ability to perform duties in accordance with the San Francisco Parks Alliance policies and procedures
  • Bachelor’s Degree in Accounting (preferred), or four-year degree in business administration with emphasis in accounting; or minimum of five years of paid experience in the accounting profession with emphasis in Accounts Payable, Payroll General Ledger Accounting, and Auditing.


Other

  • Provide ad hoc documentation in AP, HR and Payroll when needed
  • Assist Controller in preparation of lead schedules for annual audit
  • Perform other administrative duties as assigned by the Controller or Director of Finance and Administration to complete SFPA goals and objectives


Compensation

San Francisco Parks Alliance offers a salary of $55,000 to 60,000 for this position, commensurate with experience and skills, and a comprehensive benefits package that includes a generous vacation policy, medical, dental, vision, chiropractic/acupuncture, flexible spending accounts, Basic Life/AD&D insurance, and a 401(k) program with a discretionary match component.
