Practice Manager – Illumination Foundation Medical Group (IFMG) – Fullerton, CA

Homelessness is the largest social and public health crisis in California. Illumination Foundation (IF) is a growing non-profit organization dedicated towards disrupting the cycle of homelessness by providing targeted, interdisciplinary services in our recuperative care centers, emergency shelters, housing services and children’s’ and family programs. IF currently has 13+ facilities with 22+ micro-communities scattered across Orange County, Los Angeles County and the Inland Empire.

Objective:

The Practice Manager organizes, monitors and evaluates the business operations of the IFMG practice. This position is also responsible for directing, supervising and coordinating staff and office activities on a day to day basis to provide quality and cost effective patient care.

Job Duties:

  • Build strong positive communication with physicians, staff and peers and works as a team to enhance the success of the practice.
  • Manage and oversee the business affairs of healthcare practices. Ensure that all clerical and administrative duties, including data entry, filing, and order processing, are performed in a timely and efficient manner.
  • Ensure legal obligations are met at all times.
  • Maintain all licenses necessary to operate the practice and ensure that all medical/clinical staff maintain appropriate licensure.
  • Interview and select individuals for front office medical receptionist, medical assistant, and other positions.
  • Manage, maintain and adjust work schedules to ensure optimal staffing across functional areas within clinic and among other clinics
  • Supervise, evaluate, and manage non-physician staff
  • Ensure compliance with staff and company policies and procedures and state and federal rules and regulations.
  • Familiar with HR hiring systems like Indeed, ZipRecruiter, LinkedIn, Monster, etc.
  • Have knowledge/experience setting up and running payroll as well as reports.
  • Ensures regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations.
  • Ensure employees are adequately trained to perform assigned duties safely and correctly.
  • Monitor clinic activity and patient flow to ensure efficient and effective patient care.
  • Investigate and resolve patient and staff complaints, referring issues to others as needed.
  • Be actively engaged with patients and follow-up.
  • Knowledge of continuous process improvement concepts and practices.
  • Develops, implements, and maintains office policies and procedures.
  • Ensure maintenance and cleanliness of facility through use of clinic staff and other support staff
  • Regular attendance to ensure efficient clinic operations – including some weekends
  • Manage the operational budget and inventory use of the practice.
  • Ensure compliance with front office procedures and ensure accuracy of financial transactions
  • Manage patient billing.
  • Play an active role in resolving patient billing claims.
  • Knowledge of regulations related to Medicare, Medicaid, and commercial insurance.
  • Maintain a thorough working knowledge of practice software and utilize it to it full capacity. Also, train staff on various functions of the software, as appropriate to their job description.

Qualifications

  • Bachelor’s degree
  • Minimum of two years’ experience working in a supervisory role in a medical office or urgent care clinic
  • Computer proficiency (MS Office, Google Drive, EMR, Billing Systems)
  • Demonstrated skills in written, verbal and consultative communications
  • Ability to deliver high levels of customer service and achieve customer satisfaction
  • Understanding of compliance and regulatory guidelines (HIPAA, OSHA, etc.)
  • Understanding of revenue cycle management
  • Medical Assistant or LVN or other clinical certification preferred
  • High attention to detail and ability to focus

Job Type: Full-time

Pay: $60,000.00 – $70,000.00 per year
