Medical Assistant – Front Desk

POSITION OVERVIEW:

Responsible for greeting all patients with genuine enthusiasm and warmth upon arrival and over the phone, performing check-in procedures, scheduling & confirming appointments, coordinating patient services, collecting fees, and biding patients farewell as they leave. Provides pleasant and courteous customer service to all callers and patients, at all times.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES (including, but not limited to):

  • Greets patients, ascertains purpose of visit, and confirms or updates demographics and insurance in EMR system.
  • Checks in and out patients in a timely, accurate and professional manner.
  • Verifies eligibility for all walk-ins, obtains proof of eligibility, makes copies of picture ID, and of front/back of insurance card.
  • Directly responds to questions, provides guidance to patients and anticipates patient needs; accountable for their comfort.
  • Collects co-payments from patients.
  • Courteously answers calls, forwards to appropriate team member and accurately documents messages.
  • Schedules, cancels and reschedules regular, missed and follow-up appointments; Schedules patient transportation as needed.
  • Calls and confirms appointments; unconfirmed for day of and for the following day; Conducts follow-up calls as needed to check on patients.
  • Pulls patient charts for following day; Creates new patient charts as necessary.
  • Files, scans, copies, retrieves and email/delivers medical records according to HIPPA standards.
  • Types records, reports, and correspondences.
  • Tracks incoming and outgoing packages/parcels and mail.
  • Provides a wide variety of administrative and operational support for other team members as needed.
  • Responsible for reception area; light housekeeping duties such as cleaning glass door, stocking of coffee area, and ensuring restrooms are clean, stocked and orderly.
  • Maintains a clean, well-stocked, safe environment for patients and staff. Keeps patient care and utility areas neat and clean.
  • Ensures that all HIPAA/ OSHA standards are in compliance.
  • Maintains established departmental policies and procedures, objectives, safety, environmental, and infection control standards.
  • Participates in departmental and organizational quality management activities.
  • Cooperates with other personnel to achieve department objectives and maintain good employee relations, interdepartmental objectives, and infection control policies.
  • Attends departmental meetings as required.
  • Effectively manage special projects and other tasks as assigned.
  • Performs other duties as required.

REQUIREMENTS (including, but not limited to):

  • Associate’s Degree or equivalent training or experience required.
  • Minimum, two (2) years experience in a customer support capacity in a physician practice or in a Medical Center required.
  • Working knowledge of medical terminology and healthcare settings.
  • Ability to handle multiple priorities at once with minimal supervision.
  • Must be a reliable team player committed to working in a quality and customer centric environment. Will require daily interaction in person, on the phone, and via email in order to perform the job.
  • Superior customer service skills: demonstrate responsiveness, depth of knowledge and thoroughness in handling and responding to inquiries from patients and team members.
  • Skilled in harmoniously working in high stress situations/environments and with distraught or agitated individuals.
  • Ability to work autonomously, to multi-task, and provide quality patient care is essential.
  • Self-reliant and self-motivated with strong ability to prioritize and plan to get things done.
  • Ability to work productively, cohesively within a team and resolve conflict in a positive manner.
  • Adaptability is essential to manage the needs of a department with unpredictable volume and resources.
  • Exceptional interpersonal skills, flexible, with a professional “can-do” attitude.
  • Excellent listening comprehension, oral communication, and written communication skills and the ability to interact in a tactful and positive manner.
  • Able to follow oral and written instructions precisely and keen attention to detail and high degree of accuracy.
  • Able to read, write, and understand English. Bilingual (Creole) Required- Spanish is a plus.
  • Understanding and experience using EMR software and applications.
  • Proficient computer skills and solid knowledge of Microsoft Office products (Outlook, Excel, Word, etc.).

In addition to the above listed minimum requirements, candidates who possess the following skills, experience, and capabilities may receive greater consideration during the evaluation process:

  • Experience in Geriatrics
  • Experience with a health plan/health insurer and/or Medicare/Medicaid
