Dental Clinic Manager/Supervisor-Oral Surgery – University of Minnesota – Minneapolis, MN

REQUIRED QUALIFICATIONS

  • BA/BS with at least 2 years of experience in Oral and Maxillofacial Dental assisting and/or supervising

OR

  • A combination of related education and work experience to equal six years.

AND

  • Active and in good standing as a Minnesota Licensed Dental Assistant
  • DAANCE/AAMOS Certification (or must obtain within 4 months of hire)
  • Current CPR/BLS Certification
  • IV Sedation Certified (or must obtain within 4 months of hire)
  • Current DANB Certification (or must obtain within 4 months of hire)
  • Experience as a supervisor of dental assistants or in a lead assistant role (includes experience with managing time off and absences of team: time sheets, vacation/sick time, etc)
  • Record of providing high quality patient care as a dental assistant and working successfully with a diverse patient base.
  • Experience working and being successful in a busy and high quality of care dental clinic/office/hospital
  • Record of having a positive attitude and team building approach as well as strong work ethic and outstanding attendance and reliability in role.

PREFERRED QUALIFICATIONS

  • Experience as a clinic manager or similar role is highly preferred
  • At least 2 years of experience as a supervisor of dental assistants
  • Record of building and maintaining a strong clinic team and running a smooth and efficient clinic
  • Experience supervising labor represented employees
  • Experience managing clinic schedules for efficiency and making staffing adjustments to meet clinic needs
  • Worked with patient referrals and following up with other providers for patient’s care.

The Oral and Maxillofacial Surgery Dental Clinic Manager/Supervisor will directly supervise the Dental Assistants and Sterilizing roles of this Division. They will also partner with the supervisor of the front desk team and billing teams to ensure smooth clinic flow for patients, staff, students and faculty. This role is vital to the success of the clinic and to provide an excellent patient experience in our school.


STAFF DEVELOPMENT AND SUPERVISION 30%

  • Direct supervision of staff including dental assistant specialists, dental assistants and/or sterilization/dispensary technician. Oversight for clinic staff and ensure team is providing superior patient care assistance to dental students, residents and faculty, consults, post-op checks, laboratory and radiologic procedures, surgeries involving local anesthesia, nitrous oxide administration, mild, moderate and deep sedation and general anesthesia, etc.
  • Supervise dental assistants in Oral Surgery and others as determined; includes interviewing, hiring, terminating, coaching and corrective action, develop and train, provide work direction, etc. of team.
  • Conduct regular staff meetings; demonstrate and encourage effective communication, promote professionalism and lead the team by example.
  • Identify developmental opportunities; provide and arrange learning opportunities or in service sessions (e.g. infection control updates, implant procedure review, drug review, airway review etc) or delegate these sessions to appropriate personnel (Licensed Nurse or Faculty member).
  • Evaluate mid-probation, probation and annual performance reviews with staff and conduct timely assessments of staff as appropriate: coach, train, and mentor staff, manage attendance and approve or deny requests for absences, provide constructive criticism and positive encouragement as appropriate. Utilize student, resident, faculty, and/or self evaluations in the assessment process and to address and document concerns and issues. Participate in corrective action/discipline of staff as needed to address performance issues.
  • Coordinates staff activities and work assignments, maximizing clinic coverage in clinic at all times. Monitor and assess time management. Arrange temporary help as necessary. Adjust and notify staff (following collective bargaining agreements) schedules as needed for the clinic.
  • Ensure clinic is staffed at all times; partner with HR to request additional positions when needed, post positions, interview, offer and hire staff. Ensure new clinic staff receive and complete all required training and receive in person training in Oral and Maxillofacial Surgery clinic.
  • Delegation of tasks to staff appropriately.

OVERSIGHT AND COORDINATION OF CLINIC ACTIVITIES 50%

  • Responsible for compliance and reporting; including supervision of the related duties and task assigned to assisting or sterilizing staff. Ability to identify and address any concerns in a timely and appropriate manner.
  • Create a clinic guide to patient appointments to ensure efficiency of the clinic and ensuring patient safety at all times (how long for what type of service, days/times specific procedures are to be done depending on staffing, ensure clinic team is advising patients before and after appointments as to what is needed and procedures to be followed). Communicate and execute this guide’s protocols and procedures and work with staff, faculty and supervisors to ensure it is being followed.
  • Create and send out patient procedure letters to outside providers
  • Ensure all clinic schedule templates are set up or inputted; predoc, GPR, resident time off, cleft palate clinic, etc. ; oversee axium schedules for providers and residents to make adjustments and corrections.
  • Coordinate referral process from inside and outside providers for faculty and residents
  • Work/Collaborate with front desk supervisor and staff on setting up correct patient appointment blocks to ensure proper scheduling is followed.
  • Work/Collaborate with front desk supervisor and staff to schedule according to parameters put in place, and review and authorize or deny adding or changing of patient appointments.
  • Ensure clinic supplies are ordered, received, stocked and monitored; including monitoring and disposing of expired product (expectation is there will be no expired products ever in the clinic).
  • Work/Collaborate with Faculty clinic director on clinic flow, patient care, and all aspects of clinic activity. Partner with clinic director, Division Director, faculty, staff and residents to address any concerns regarding patient care and clinic activity.
  • Coordinate emergency response team in Oral and Maxillofacial surgery to respond to all emergencies in the School of Dentistry including ensuring pagers and equipment are operational at all times.

PROVIDE DIRECT PATIENT CARE 20%

  • Provide direct patient care to patients in Oral and Maxillofacial Surgery: Deliver direct patient care as expected by the Oral and Maxillofacial Division, provide dental related information to potential or current patients and possess strong working knowledge of medications used in clinic and prepare as needed. Provide assistance to dental students, residents, and faculty with services rendered to patients. This includes assisting with consults. Post operatives, laboratory x-ray procedures and surgeries involving local anesthesia, nitrous oxide administration, IV sedation and general anesthesia, developing and mounting radiographs. Provide care to patients in recovery following IV sedation and general anesthesia, remove suture & dressings as required, prepare operatories, assume responsibilities of understanding emergency procedures and operation of emergency equipment, prepare and sterilize instruments, provide chair-side Dental Assisting during a variety of procedures, assist or be present in the acknowledgement of counting of materials, sedation products, or other items as directed and other duties as assigned.
