SURGERY COORDINATOR JOB DESCRIPTION

POSITION: Surgery Coordinator

DEPARTMENT: Surgery

REPORTS TO: Manager of Surgery

JOB SUMMARY: Responsible for assisting the patient with all aspects of pre-operative preparations in order to promote confidence in their medical care and make the surgical experience as smooth as possible. Schedule patients for surgery and collect all pertinent information for upcoming surgeries. Take LASIK and refractive surgery calls. Perform VIPS. Responsible for reporting to the doctors anything related to their surgery schedules. Work at all 5 office locations as directed.

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent.
  • Prior in-office experience a plus but not necessary.

ESSENTIAL FUNCTIONS AND SKILLS:

  • Articulate communication skills via phone, in person, fax, or email.
  • Demonstrate concern for patient’s problems and present a friendly and caring manner to put patients at ease.
  • Convey enthusiasm.
  • Ability to empathize with geriatric and disabled people and patients of all ages.
  • Ability to keep information confidential and follow all HIPAA laws.
  • Good problem solving skills.
  • Ability to work as a team member including working different shifts to support department.
  • Ability to remain in a stationary position for at least 50% of the time, including sitting and standing.
  • Ability to constantly operate a computer and other office items including but not limited to, copy machine, fax machine, phones, and printers.
  • Ability to occasionally ascend or descend stairs.
  • Ability to constantly maneuver around office to work with patient and support doctors.
  • Ability and willingness to drive to all Valley Eye locations and/or area surgery centers.
  • Well-organized, with strong attention to detail.
  • Ability to multitask in a fast pace environment.
  • Participation in safe patient transfers are required.

RESPONSIBILITIES:

  • Surgery Coordination
  • Act as an effective liaison between the patient, surgeon, primary care physician, and the surgery centers in all aspects of pre-operative preparations.
  • Schedule all patient surgeries and at the time of scheduling, provide clear instructions for surgery.
  • Do A-Scans and Immersions, OCT, IOL Master, Shirmer, Pachymeter, and Pupilometer as needed.
  • Lipiview, Lipiflow, and Osmolarity as needed.
  • Organize pre-op paperwork and collect all pertinent information for upcoming surgery including A-Scans, insurance, and H&Ps.
  • Answer telephone inquiries from patients, their families, or primary care physicians concerning surgery and/or related concerns.
  • Schedule patients with the surgery centers.
  • One week before surgery, type up schedules, arranging in-time orders, pull surgical orders and put them on the doctor’s desks. Make copies for surgery departments and techs. Fax schedules, doctors’ orders, IOL calcs, and arrival/surgery times to the surgery centers after the doctor completes paperwork.
  • One week prior to surgery, provide the patient with calls and advise them of the time they should arrive at the surgery center, confirm that their H&P has been done, remind them of any pre-op eye meds, other medication restrictions, and answer any questions they may have.
  • Keep the surgery schedules up to date and coordinate with other surgery coordinators in the department.
  • Prepare and put together surgery packs. Copy forms and revise as needed.
  • Coordinate with outside sources with arrangements for surgical equipment to be available in the office when needed.
  • Take surgery payments.
  • Meet with patients for R.E.O.C. visits.
  • Attend lunch and dinner meetings with doctors and/or staff as required.
  • Perform Lipiflow.
  • Refractive Surgeries
  • Take phone calls regarding refractive surgery and answer the patient’s questions.
  • Schedule appointments for VIP’s, evaluations for refractive surgery, cataract exams, and other surgical exams as necessary.
  • Send information to patients at their request.
  • Conduct VIP’s by moving around the office and performing the necessary testing at all office locations. Complete all necessary paperwork and give to the doctor(s) to review.
  • Do testing on patients – Auto Refractor and Pentacam.
  • Make follow-up calls as needed.
  • Complete paperwork same as stated above for surgery coordination.
  • Marketing
  • Attend outside marketing events at public venues to generate positive business interactions which may require standing for multiple hours.
  • Promote Valley Eye Associates and its surgeons.
  • Attend Optometry seminars as needed.
  • Attend and assist at public learning seminars regarding Lasik and Cataract Surgery.
  • Administrative
  • Maintain accurate account of all surgeries in the computers.
  • Assist team members on a daily basis to assure all work is done and up to date. Any changes or information that are discussed are to be distributed to all parties as needed to make the necessary change.
  • Cooperate with staff members in other departments to coordinate procedures, appointments, and office routines.
  • Assist with general office duties.
  • Perform other duties, as assigned.
  • Hours
  • Monday-Friday Flexible 7:00am-8:00pm
  • Alternate Saturday AM clinics with other team members as needed.
  • Staff retreats and employee improvement/education functions as required.

Pay: From $16.00 per hour
